Reception


Note Room 10 is occupied by Mr & Mrs Finch on 10 & 11 June, and they are paying a rate of R2 000 per night. Next to the room numbers are the room types. Room 12 is occupied by Mr Sparrow on the 10th but he is due to check out on the 11th.


Te receptionist will indicate the status of each room on the chart. If the guest checks out in the morning (for example Mr Sparrow), the room will be vacant but not ready until housekeeping cleaned the room. Te chart can then be updated. Tis chart indicates that rooms 11, 14 and 15 are all vacant and ready for use.


Tere is no room 13. Many hotels avoid numbering a room 13, to avoid incidents with superstitious guests.


Bed sheet Te bed sheet or room letting sheet is a development of the bedroom book and is oſten used in hotels of up to 200 rooms. Te information is recorded onto a sheet pre-printed with room numbers, types and three sections. One sheet is used for each day and the day and date is entered by the receptionist. During the evening shiſt the entries are copied over onto the sheet for the next day.


Guests are entered into the appropriate column depending on whether they are arriving, staying or leaving. A guest who has booked for only one night would move straight from the arrivals column to the departures. Tis three-column system is very effective, for it enables the receptionist to see quickly the rooms that will be available to let that day. It is also possible to allocate rooms before guests have checked out.
