Completing the form: Te confirmation slip can take on various forms and is usually tailor-made to suit the requirements of each individual hotel. Using the above as example – the form will be completed using the guest details as follows:


• NAME: Te name of the guest is completed using the correct format. • ADDRESS: Te address of the guest is completed. • CODE: Te postal code is written in.


• TELEPHONE: Te telephone number of the guest is completed.


• ARRIVAL AND DEPARTURE DATES: Te correct arrival and departure dates, using the same format throughout (for example 10JUN2015 – 15JUN2015) are completed.


• ACCOMMODATION: Te room type the guest requested is written down, for example 1 x DBL for 1 double room.


• RATE: Te rate per night is indicated as well if any meals are included if the information is available (R1 000).


• NUMBER OF PERSONS: Te number of guests staying in the hotel is indicated (2). • ARRIVAL TIME: Te arrival time of the guest is indicated, if known (20h00).


• SPECIAL INSTRUCTIONS: Special instructions are written down – for example if a guest requests flowers in the room (Champagne in room upon arrival).


• MEALS: Any information with regards to the meals guests request can be written down (Breakfast included).


• SPECIAL INSTRUCTIONS: Tis field is specifically for special instructions with regards to meals (Guest is a vegetarian).


• REMARKS: Any other remarks not already indicated can be written down in this field.


• METHOD OF PAYMENT: Te method of payment is indicated (credit card), if a guest paid a deposit it can also be indicated.


• BOOKING CLERK: Te receptionist who made the booking (Patty Johnson) is indicated. FutureManagers 67 X
