5.4.4 The extra information (small print) usually printed on the confirmation slip


Below is an example of the small print that is usually printed on the back of a confirmation slip. Should the hotel make use of a confirmation e-mail or letter, this information is usually found on the second page of the e-mail or letter. By doing this, the hotel clearly states the terms and conditions of the booking contract. Some hotels also include a section that states that the hotel cannot be held liable for any loss or injuries suffered while guests are staying at the hotel.


Arrival times


• Room reservations are held until 6 pm local hotel time unless a later time is confirmed, in which case they are held until the hour specified.


• Rooms may not be available until check-out time at the hotel.


• Occupancy prior to check-out time cannot be confirmed unless payment for the previous night is authorised and guaranteed.


Cancellations/Revisions


• Cancellations and/or revisions of reservations must reach the hotel prior to the time specified on the reservation.


• Cancellation of a guaranteed reservation for which payment was authorised for the first night must reach the hotel by 6 pm on the arrival date to avoid billing.


• Cancellation of a reservation for which a deposit has been sent must reach the hotel by the date specified on the reverse side for the deposit refund or the deposit will be forfeited.


• Cancellation numbers are given at the time of cancellation and should be retained for your records.


• Revisions to arrival dates, accommodation and departure date cannot be confirmed unless accommodation is available.


Rates • Rates are quoted in South African Rand.


• South African currency rates are subject to fluctuations between currency exchange rate at the time of confirmation and the time of check-out. • VAT (Value Added Tax) is included in the rate.


• Te Tourism Levy is not included in the rate. Deposit Cancellation Requirements


• Any required deposit specified on the reverse side of the confirmation slip much reach the hotel by the date shown or the reservation will be cancelled.


• Te deposit must be made payable to the hotel and sent to the attention of the ‘front office manager’.


• A new deposit is required for the revisions received aſter the cancellation refund deadline date. 5.5 Status of reservations


• 6 pm release Reservations are oſten taken on the basis that the guest will arrive by a certain time of day. If they arrive before that time they occupy their room in the normal way. If they arrive aſter that time they have to take a chance on a room being available when they arrive. Tis enables the hotel to be certain it is full, without the risk of having to charge guests for non-arrival if they are delayed or change their plans.
