Reception On the evening shiſt (15:00 – 23:00)


• Cash floats should be rechecked to ensure that cashiers have enough change for the evening. • Any new arrivals should be dealt with as they check in.


• Any correspondence or filing leſt over from the morning shiſt should be dealt with. • Any lunches, lounge drinks and room service charges are posted onto the guest account.


• Te arrivals and departures list for the next day should be typed and copies distributed to all departments.


• Check which rooms are available to sell should a chance guest arrive.


• Write any notes for the night porter in the porter’s book and notify him/her of rooms available and any late arrivals (names and room numbers). • Prepare the manager’s report on daily occupancy.


• If there is not a separate cashier in the hotel, the receptionist must receive all cash from bars and lounges and place it in the safe.


• Check all cash floats, lock safe and all cupboards.


• Leave messages for night and morning shiſt. During the night shiſt (23:00 – 08:00)


• Checking and restoring cash float • Completing correspondence


• Posting dinner and late night charges to guests’ bills


• Type arrival and departure list for next day and distribute to departments • Checking housekeeper’s lists to note room availibility for letting • Prepare manager’s report


• Counting cash and preparing bank deposits • Finalising messages to guests and other internal departments


Did You Know Depending on the size of the hotel, the duties of the receptionist might become more. A small establishment will require a receptionist to be involved in many duties as there are only a few staff members. A receptionist will answer the telephone, make reservations, perform all duties at reception, accept money from guests, etc. In a large hotel, staff members will be more specialised and concentrate on specific duties. Tere will be separate positions: reservationist, cashier, reception, switchboard operator, etc.
