Preparing for the Trip - Catering Objectives
Chapter 5
NOTE: Superbowl, Academy Awards, Olympics, large meetings of executives, etc. – more notice for catering! Always do some “Due Diligence” about the departure/destination researching possible events.
Recommend being at the FBO or facility to receive your catering 2 hours prior to departure - this may require you to take a taxi or transportation to the facility in order to receive your catering on time.
If flying a shorter route followed by another departure - example: departing FXE to MCO and then an hour later departing to VNY. We recommend getting all of the catering from originating city (in this case FXE). Especially if it's your home base and you already have a reputable catering company that you prefer. They can pack it so it stores safety until you are ready for it. This will alleviate any stress of not knowing the quality or if the catering will be there on time.
If you are at a location where there are no catering companies, or the caterer there is not up to your standards, you still have several great options.
• Use your hotel restaurant, provided its good quality, and then you can work one-on-one with the chef.
• Use area restaurants take a taxi if needed - Be cognizant of safe food handling protocols. • If using a restaurant for your catering be sure to state your storage space and size limitations or bring them your service trays and oven tins. • Grocery store buy and prepare the food yourself!
Note: Always order at least one extra main course - you will never be caught off guard if passenger wants seconds or a last minute, additional, passenger arrives.
Pets - many passengers travel with their pets. Have treats, food and water on hand but NEVER feed an animal without permission from owner first.
Children - Caterers can provide child specific foods, aircraft safe toys and games.
Flowers - Determine if flowers are to be provided. These can be ordered from the caterer but that is a very expensive way to go. Consider having a floral shop arrange them for you or better yet you arrange them. If you do not feel comfortable with flower arranging then purchase a blooming orchid. Make sure the arrangement has a low profile so it will not tip over in the cabin.
If using a new caterer or restaurant make sure to ask for or get their business card and menus for reference and to keep on file for future use.
CATERING CANCELLATION POLICIES
Cancellation one day in advance or cancellation the night before: 1. Call the caterer ASAP. 2. Discuss if any charges apply. 3. Inform the PIC if charges apply.
