"A good understanding of what you want your audience's take away to be will determine what elements are most effec- tive,” he continues. "The biggest mistake is to do it because you did it last year, or that is how you have always done it. To make the best use of your budget, it is prudent to give it a fresh look every time.”
He adds that problems also often occur in this area when some planners neglect to consider their technological needs until later on in the planning process. "Bringing
your event technology management part- ner to the table at the beginning of the process pays great dividends in the long run. Once they understand the goal of your event and what it is you are really try- ing to accomplish, they can assist with venue selection, room and stage design, event flow, creative content and more to better help you realize your vision.”
When they are made part of the planning team from the start, they also can help the planner to maximize their creative and technology budgets.
"A big part of that is helping with the logis- tical flow of load in and set up, and coor- dinating with the many other vendors to be the most efficient, which can lead to
cost savings as well as a smooth opera- tion,” Wildemann adds.
Says Jason Cataldi, CTS, director of sales and marketing for IMS Audio Visual, "In my experience over the past 17-plus years of serving the meeting and events indus- try, the most overlooked or forgotten ele- ments in the planning process often times are not related to audio-video and light- ing services. More specifically, it is the lack of pre-meeting communication and the understanding of what needs to be achieved. There are so many moving parts and responsibilities that meeting profes- sionals are held accountable for. The sin- gle most important being the return on investment (ROI), or maybe better stated, the return on experience (ROE).”
