SOFTWARE SOLUTIONS FOR THE POOL INDUSTRY


Last month’s SPATA regional seminar at Guildford included a presentation by JNC Solutions, with over 10 years experience as a software development house, producing software for the construction industry. A new add on software for Sage now offers help for specialists pool companies


A


software programme for Sage 50 is being offered to the specialist swimming pool industry, providing simple to use job costing and


management solutions. JNC Solutions have been developing software for Sage 50 for 15 years and have experience in helping smaller businesses improve their financial performance with Sage. For the last nine years they have specialised in the construction industry.


JNC Solutions have been working with SPATA and have now presented the software – Construction Manager and Maintenance Manager – to a number of specialist swimming pool companies. There has been a lot of interest and the detailed discussions have established the software is an excellent fit for pool contractors and maintainers.

JOB COSTING


Maintaining accurate cost control on each job is vital in any construction project and crucial to the company’s profitability. To achieve accurate


costing information there are two essential requirements for the system. It must be easy to enter information and simple to view the relevant details for each job. Construction Manager achieves this by providing a single point of entry for all transactions and adopts the Sage 50 style of interface to provide speed of entry and ease of use. Construction Manager 50 provides up to date information at your fingertips for all users. There is no need to learn the programme to view job costing information. Select a job and view it and the job summary screen provides sales and profit to date together with the ability to drill down to full details of every transaction of the job. Ideal for directors and project managers monitoring costs and preparing valuations, applications or customer invoices.


LABOUR AND SUBCONTRACTORS Most companies will use a combination of direct employees and subcontractors to do the work. Construction Manager 50 provides for both. Integration with Sage Payroll enables weekly timesheets to be costed to jobs and processed in Payroll. A full range of subcontractor functions enable invoices, timesheets and applications to be processed as well as automating HMRC online verification and submission.


PURCHASE ORDERING


Many companies want to improve control of their purchasing with an easy to use purchase ordering system. Using Purchase Ordering improves control by matching deliveries and invoices to orders. This provides advance information on cost overruns and accruals for work in progress and valuations. The system has been made very flexible to allow for the day to day changes that typically occur in the industry. Price lists can be set up.


APPLICATION FOR PAYMENT Managing applications for payment in Sage Accounts is very difficult or impossible. Construction Manager simplifies the whole process enabling applications to be produced and sent to the client and payment certificates processed with retention and discount. The result is a detailed payment history and up to date reports for outstanding monies owed and retentions held.


MAINTENANCE JOBS


Most companies provide a maintenance service as well as construction. Maintenance jobs have a different requirement for organising, administering and invoicing the work. For this reason a separate type of job is set up called Maintenance Jobs. Maintenance Manager enables incoming calls to be logged, recorded and allocated a job number. The job can then be allocated to an operative to carry out the work. All costs and activities are recorded against the job and the system provides automatic invoicing. A range of invoice options are provided including, fixed price, cost plus and schedule of rates (Price Book).


A recent addition to the system is the integration with hand held PDAs. This enables the job sheet to be sent to the allocated person with all relevant instructions and address details. The work carried out is recorded and the customers’ signature recorded and sent back to the office so that an invoice can be generated straight away therefore improving cash flow. Less time is wasted by the service engineer returning to the office for instructions. spn
