According to Jason Cataldi of IMS Audio Visual, many AV companies now offer graphic design, Power Point creation, and virtual screens instead of printed signs.
An AV company might be a great choice for this type of project due to their famil- iarity with the latest and greatest high tech options.
For example, one recent idea that Cataldi pitched to the Greater Philadelphia Chamber of Commerce for its William Penn Award Gala involved hanging plas- ma screens 8-feet and 10-feet off the ground to act as realistic basketball back- boards with actual three-dimensional hoops attached to further a playground theme.
At their event this past April, planners used the backboards as digital signs for sponsors or event information, which saved on costs while at the same time cre- ating a “wow” factor. To generate more of an outdoor feeling, additional screens ran video of children playing and open fields. Tire swings dangled throughout the space to add extra 3-D elements.
In 2010, IMS worked with the same client for their annual event offering a unique Phillies experience as part of an award for Charlie Pizzi of the Tasty Baking Company. For that event, IMS took the P of the Philadelphia Phillies and used it for the name Pizzi.
This created a truly
“Philadelphia Experience” for the award ceremony. That extra design touch acted as a consistent element throughout the entire event.
Antonia Quagliariello Timberg, vice presi- dent of programs and events for the Greater Philadelphia Chamber adds, “We outsource what we don’t have expertise in, or if it is more cost-efficient to do so.” Her team would not have had the band- width to carry out such a plan without the help of a company such as IMS Audio Visual.
Peace of Mind
According to Cataldi, planners turn to out- sourcing for two reasons: continuity and specialized pricing. IMS offers clients who are planning many events the same pro- duction manager and/or lead technician who coordinates the audio-visual with supplier networks across the country. This saves costs and provides consistency for each event location.
Using the same person ensures the same setup with the added benefit of local pric- ing. Otherwise, the AV contact would change with each event stop, which would then require the planner to oversee each setup and explain the event specifics multiple times.
Cataldi understands that outsourcing
does not always fit every event. He realis- tically adds that budget must come into consideration. A small gathering usually can take advantage of a knowledgeable house staff.
