For Max & Me Catering, the key to working with large groups is gathering as many details as possible before putting a pro- posal together. “We always consider how guests are arriving and how to get guests into the building in a timely manner so that each may be properly attended to,” says Maddox.
“Demographics of events are important, as well. For example, a conference may be dominated by male attendees, so knowing this ahead of time helps to better place bars and food stations in order to ensure the best possible flow,” she adds.
However one of the biggest challenges is timing. Maddox continues, “Getting an event ready for 2,000 people with only one hour to set-up can be difficult. Open communication and being able to inform the client as to exactly what setup will entail, as well as being able to adjust expectations, can be a big part of the over- all success. This is especially true when a private event is booked at a museum that stays open to the public until 5:00 pm.”
Some of the large groups Max & Me has worked with include: the annual Liberty Medal Awards Ceremony, a high-profile dinner party with a stellar list of 500 dig- nitaries and business leaders such as Tony Blair, George H.W. Bush, William J. Clinton, Stephen Spielberg, Sandra Day O’Connor and others; The Red Ball, a “Red-Tie” gala benefiting the American Red Cross; Philadelphia Mayor Michael Nutter’s Inaugural Ball with 3,000 guests; and Pennsylvania Governor Ed Rendell’s first inauguration.
Other major considerations for big events are audio-visual and presentation needs.
