OCEAN MANAGEMENT Ocean Management has recently expanded its team in the USA and Europe. Peter Southgate takes up the position as Director Yacht Management USA, while Christophe Ceard in Europe will be tasked to further develop and enhance communications between the ultimate beneficial owners and their in-house teams with Ocean Managements’ technical and operational managers. Ocean Management’s ability to support Owners, Captains and Crew has always been global. With yacht managers also physically based in the UK, Monaco and now Fort Lauderdale their response times become even faster as the fleet continues to steadily grow. ADDITIONALLY, AS MORE AND MORE LEGISLATION INEVITABLY GETS BROUGHT IN, PAPERWORK NATURALLY INCREASES, HOWEVER, ELECTRONIC SIGNATURES AND EDITABLE DOCUMENTS ONLINE HELP US TO REDUCE THE AMOUNT OF PHYSICAL PAPERWORK DRAMATICALLY

with mobile iphones and tablets and the use of Apps! Lest we forget these IT-savvy ‘newbies’ are the one’s who will dictate how the yachting industry wishes to receive, deal with and share the kind of regulatory information required to run our superyachts and megayachts of the future.

Based upon their experience with large managed yachts, management firm Wright Maritime (WMG) have been sponsoring the development of a comprehensive management software solution called iVessel ManagerTM. The iVessel software infrastructure design, so I am told, provides a secure on-line/off-line synchronisation process whereby the vessel is able to set the time of the synchronisation process in order to manage bandwidth. The software is modular with the following modules in development: Financial Management/ ISM- ISPS-MLC

Management/Crew Resource Management.

WMG’s CEO, A.J.Anderson told us,“Well designed software provides human time/ focus efficiency that ensures separate shipboard departments; ship managers and Family Office staff have a platform where they can mitigate multiple entry

Human

of the same information, while providing current and accurate data to individual participants. In our view this does not exist in today’s marketplace.

“WMG currently works with six different programmes selected individually by our twenty-six ISM yachts. Based on that experience, we are convinced that while all these programmes are very good and, in our view, reach roughly 90% of managements’ needs, that an alternative programme will benefit our team, the crews and our client offices. The iVessel programme is the closest to what will be fully comprehensive and the developers are working with our test yachts to create the best platform practical.”

The paperwork burden can also become a seasonal one, particularly for busy charter yachts, as Jordan Perry, Marine Administrator, I-Cap Marine Ltd, explained, “As we approach the busy charter season, the amount of paperwork we encounter can increase.”

“Many requests require a quick turnaround such as charter contracts, new crew contracts, visa applications, VAT registrations, permits and licences, crew endorsements

and invoices from suppliers and the physical sign-off required can sometimes become a burden.”

“Additionally, as more and more legislation inevitably gets brought in, paperwork naturally increases, however, electronic signatures and editable documents online help us to reduce the amount of physical paperwork dramatically, and secure cloud filing systems facilitates the storage, exchange and retrieval of documents.

Jordan added, “The software we use is Cello Marine, which really streamlines crew management and payroll processes for us, and allows us to effectively have a bird’s eye view over a particular vessel and crew. It lets us easily monitor the paperwork and crew qualifications whilst allowing us to produce contracts needed for crew. During the payroll process, the software creates a payment file which can be uploaded into varied international banking platforms and automatically generates payments from details stored in Cello, meaning it’s a simple one click procedure.”
