Top tips for organising an event


Whether it’s a networking morning, a charity fundraiser or an important exhibition, an event takes careful planning and consideration. Elaine Vandelli, Managing Director of Hi 2 Events, offers her top tips for organising the perfect event.


PLANNING AHEAD Your first thought should be the venue, which will need to be suitable for the type of event to be held. Factors to consider include costs, access for the disabled, the size of the rooms relative to your requirements and if parking is available. With a venue in mind, your next task is to consider the


guest list. What businesses do you want to attract? Your guest list will have a bearing on the kinds of facilities you will need to offer. Before you set the date, think about where and how you


will publicise the event. If you plan to promote in a newspaper or magazine, be mindful of editorial and


advertising deadlines and how the cost of advertising could affect your overall budget. If you decide to have posters or flyers, you need to leave sufficient time for these to be designed, printed and distributed. Once you have selected a date, determine if you will


need help on the day. You might need paid staff or volunteers for ticket collecting, raflle ticket sales, first aid or catering. You might also need sound and lighting technicians and corporate speakers. Hiring staff and checking credentials can be a time-


consuming process and you need to make sure you have enough time to ensure all staff meet your expectations.
