Using Excel to Create a Database Great Tips on How to Organize Y

M

any of you use Excel to create budgets and crunch numbers. Did

you know that you can make a list (or database) in Excel? Excel provides a LOT of tools to help you sort, filter, color code and extract information from your list.

Creating The List First what do I mean by “list”? A data- base is a collection of infor- mation in an organized structure. In Excel you can create a database by creating a row of column headings that will be the categories or fields headings for

the information to follow. For example, you might have a field called First Name, another

called Last Name, etc. They could oc- cupy cells A1, A2, and so on.

Below these fields, you can enter the indi- vidual records (rows) of information such as JANET under the First Name heading and ANDERSON under the Last Name heading and so on. Complete this record by entering all of the data that relates to the column headings. You might have a database of addresses so you might have fields like First Name, Last Name, Ad- dress1, Address2, City, State, and Zip.

Enter in as many records as you like, however there is a limit. Excel 2007 has 1,048,576 rows in a sheet, so you can have 1,048,575 records. If you have that many friends, relatives or clients, congrat- ulations!!! Since you cannot exceed one sheet when you create a database, that is your limit.

Now for the fun part. Don’t worry about putting them in any kind of order. Excel has great tools to help you rearrange your records in many ways.
