NC. From the shortcut menu, you would choose Filter -> Filter by select- ed cell’s value. Bingo, you are looking at only the records where NC is in the State field. Don’t worry; the rest of your list is still there. Excel just hid the rows where the State value was something other than NC.

You can create a great list of clients, customers, friends or anything else

Your next question is “how do I get the rest of the group back?” In Excel 2007, on the Data tab, in the Sort and Filter group, you can choose the ‘clear’ button.

Sort And Filter Using The Ribbon By using the clear button, you are introduced to ANOTHER method of sorting and filtering. On the Data tab, in the Sort and Filter group you will see

buttons that relate to your database. The A/Z button will sort by the column (field) your cursor currently is in. By choosing the large Filter button, you will create down arrow buttons next to each field heading, which produces a menu of choices relating to THAT field.

For example if you click on the down arrow on the State field you can dese- lect the box next to Select All and then click on the box next to NC, and presto you have filtered the list to show only those records in North Carolina.

By using these tools, you can create a great list of clients, customers, friends or anything else you want to keep track of. Good luck in creating your data- base. Next month I will share with you the ins and outs of Mail Merge. Great for creating your holiday card labels. Happy Learning!
