Process Management The processes that managed the business have also since changed due to
the advent of Cybertill, as Melanie explains. “The buying is now done through the EPoS system. It is fantastic we use it to set buying budgets, to see what stock sells, which brands are working. Before, it was all based on gut instinct and feedback from the staff, which is incredibly unreliable. If they have just served somebody then they would say ‘that is a really successful brand,’ their opinions would be very short term.” Furthermore, Cybertill has also automated what was once a tedious, but very important task, purchase order processing.
“One of the beauties of Cybertill is that the updates and upgrades are done for you. The constant updating of the software means we never encounter the problems we did with our previous EPoS supplier.
“This facility makes life so much easier. You simply press a button and you have a Start-rite delivery on Monday morning and you press another button and it is emailed to them – that’s a days job done in five seconds.”
Improving Staff Communication The days of confusing, barely legible hand scribbled notes, between staff,
stuck on the till are fading away at Cockerill’s, as they now use the internal email facility in Cybertill. “This is such an invaluable tool, because you know every single staff member has got that message from you. Many of our staff have not worked with computers before, but they have found Cybertill easy to pick up and we are now encouraging them to use the email tool and move away from paper notes,” explains Melanie.
Cutting Costs Cybertill has also helped Cockerill’s analyse their whole business more
effectively and cut out unnecessary costs. It has provided easy to analyse information so factual decisions can be made rather than ones based on gut instinct. “Cybertill has reduced our staffing costs. You can see when your busy periods are by looking at the trading analysis. You can make sure you have the staffing right for the trading pattern. We actually decided to open the Haslemere store at 9.30 rather than 9.00. In four months we could see no sales were made in the first half hour and at that time we would have
four staff on. It was an easy decision based on fact. For years we thought it was not worth opening but with Cybertill this made it a really easy decision. With Cybertill we can see we get an uplift in business at lunch times and in the afternoon after school. So we needed people in the afternoons rather than the first thing in the morning.”
Remote Control Having access to real time sales data has proved invaluable for Cockerill’s in managing the shops, as they can keep their finger on the pulse of the business and react and communicate with staff as any issues arise. “If you notice someone has put a fantastic sale through or put something through incorrectly you can either pick up the phone and congratulate them or help resolve the issue. We never really have a problem going over into the next day because we can see it as it happens and put it right immediately. What’s more I can be doing that wherever I am, as I can just check Cybertill through my iPhone, it is that easy.”
