Smarter software


Hire management software is now an essential tool enabling companies to handle day-to-day transactions and generate key business reports. However, programmers have been busily developing additional functionality to enable hirers to respond to customers’ changing needs quickly and effectively.


“While elements like tracking utilisation and return on investment are obviously still important, additional emphasis is being placed on managing customers, meeting their requirements and exceeding expectations,” said Graham Dobbs, MD of inspHire. “Many businesses rely on hirers more than ever before, considering them as outsourced service providers. Hirers, therefore, need to provide high service standards, and to be able to keep clients fully informed.


“inspHire’s CRM module enables hirers to communicate regularly with customers to review their requirements, while our WebPortal gives clients access to account information so they do not have to make a phone call to request copy invoices and the like. Report Scheduler enables information to be e-mailed to customers automatically, telling them what they have on hire, costs per site, and advance notification of overdue equipment.”

EHN assesses some of the latest developments in hire management software, and considers the benefits they offer.


A similar demand for increased functionality is reported by MCS. “Much demand is driven by our User Group, and we devise appropriate solutions,” says Sales Manager Nick Thomson. “A striking trend is the requests for customers to be able to access information themselves, enhancing their efficiency and reducing the number of calls hirers receive.


Access to data


“Our MCS-rm software’s Customer Web Portal provides secure access to stored data, such as invoices and on-hire reports, as well as documents like proof of delivery, equipment operation details and product certification. Site managers can download this directly, rather than having it faxed. Delivery documents can also be scanned in electronically by automatic batch scanning at the hire depot. Also, the CRM function facilitates creating targeted marketing and promotional campaigns, enabling closer customer contact. Overall, the software gives total transactional transparency, and on our stand at the Executive Hire Show we will be demonstrating how the complete order process can be tracked from start to finish.”


Web portals can give customers secure access to their records.


On its stand at the Executive Hire Show next month, inspHire will demonstrate its latest launches. Electronic invoicing via electronic document interface (EDI) enables the software to generate details in the correct file format so that invoices can be delivered to customers electronically by an outside hub service, which inspHire says is increasingly being requested by larger contractors. Other introductions will include Simply PATS, which integrates PAT testing results and schedules into inspHire records; Scan to PDF enabling printed hire documents to be scanned and attached automatically to the relevant sales order or workshop job; and a new iPhone and iPad app to enhance mobile working.

As well as making hirers better placed to respond to customer needs, the latest software developments enable them to manage internal operations with optimum efficiency. “Users of our Syrinx


system tell us that it is an essential part of their business,” says Katy Williams, Sales and Marketing Director of Higher Concept Software. “They can obviously ensure invoices go out on time, which is particularly important in the current economic climate, and it is far more cost-effective than employing someone part-time to process them, and to do other accounting procedures, manually.
