One of the most important communication tools in project management is the reporting system. With ever tighter schedules and larger project teams, meetings have become an increasingly important part of daily project work. Therefore, the preparation and follow-up of these meetings takes up a lot of time. With the help of uniform reports and uniform data sources across an entire project, not only can misunderstandings be avoided in meetings, but time and money can also be saved.


A very powerful part of the tool is the reporting system. It offers the possibility to compile all desired data with just a few clicks and to output it in a professionally designed report, compressed but still clearly arranged. For this purpose, you can use ready-made or specially designed reports. Starting with the ready-made reports, these already cover an essential area of reporting. In addition, it should be mentioned that all pre-designed reports can be adapted independently at any time by an authorised user. It is also important to mention that all reports are created with one click and are then available as PDF for further use.


Start with the meeting invitation, to which an agenda is also attached. All-important data for the meeting can be stored there,

such as participants, location, date and topics of the meeting. Activities that were previously defined in the project and assigned to topics can thus also be inserted directly into the meeting or sorted according to them.


The system offers pure time savings by quickly creating reports and by reducing misunderstandings across the project team


With just one click, all participants receive a uniform e-mail, or invitation, containing all the important information about the meeting. During the meeting, the invitation can be followed up with a direct recording of the meeting, new tasks can be entered into the tool and the finished minutes, frozen and no longer modifiable, can be sent to the participants.


The next step is to mention the ready-made status reports. There are different reports for different phases in a project.


Let us start with the project order. There we create a compilation of important information, such as budgets, milestones or efforts, which are of great interest for planning and execution at the beginning of a project. We then continue with the regular progress reports. There, the status of the project is displayed in traffic light colors, problems with stakeholders are extracted


from the project and the actual costs are compared with the planned costs, which can also show trends.


Finally, the project final report should be mentioned. There all final costs and efforts are recorded, and a final milestone analysis and a “lessons-learned” section can be created.


As mentioned before, there is also the possibility to create your own reports, in which all figures and information of a project or even a whole portfolio can be summarised and presented. Starting with the type of report, over which fields should be displayed in the report, which data should be entered into these fields, these data and fields should be sorted in any order, up to who is allowed to see and/or use this report. All these options are available if you want to create a report yourself.


Of course, it must be mentioned here that a report is only as good as the data that is implemented in the project at the beginning. It offers pure time savings by quickly creating reports and by reducing misunderstandings, because each time a report is created, uniform reports are created from uniform data.
