Case Study:
AIM Hygiene Services choses Templa-CMS for consolidation of their back-office systems and customer service integration.
Rick Stoor, MD of Templa
AIM Hygiene Services (AIM), who operate from their Head Office in Kent, have awarded Templa Computer Systems the contract to supply
their complete back office administration software, Templa-CMS. A widely used, fully integrated contract management system, linked to standard off-the-shelf accounting and payroll packages, it is specifically designed for contract cleaning companies of all sizes.
As part of the contract, Templa will deliver their fully integrated customer service and quality assurance module, working closely with AIM in the design of an end-to-end solution. Rick Stoor, MD at Templa, says: “We are delighted to have AIM Hygiene as a customer and look forward to working with them in the design of this innovative new area for our product. This will take Templa-CMS to the next level, differentiating our product once again from others in delivering yet more strength to our integrated systems strategy.”
AIM, who employ nearly 1,000 cleaning staff, are a long established member of the UK cleaning industry with nationwide coverage, working with many blue chip clients. A family- owned and run business, the company’s ethos is focused on delivering a high quality personalised service tailored to fit their clients’ requirements. Significant annual investment is made by the company to ensure the highest satisfaction is maintained at all times. An example of this is their latest innovation for an integrated customer service and quality management software solution.
Saul Brown, AIM’s IT Director, says: “We have seen the results of how investment in software solutions can benefit our customer service and
quality management, but until now they have been standalone systems. Having researched the marketplace, we decided that Templa-CMS was the only product that would serve as the foundation from which we could deliver full integration of systems across our business. We are excited to work with Templa in the development of their new module to complement their impressive and well- established software solution. Customer service will no longer be standalone, but become an important and integral part of our single system.”
Along with customer service and quality management, AIM will be implementing a number of advancements in the business using standard Templa-CMS features, with two key benefits immediately highlighted:
• e-timesheets: Through the introduction of Templa-CMS e-timesheets, the daily office cleaning payroll steps of data entry, wage variance analysis and manager approval, prior to receipt in the payroll department, will deliver much needed time saving and improve data accuracy. Site managers will undertake real-time entry of timesheet data, confirm one-off or periodic work-bill activity, and have full site and employee information
available at the touch of a button.
• Stores control: With integrated materials and consumables budget control, order requests will be initiated by site managers, processed through automated workflow approval, prior to sending to the supplier. Electronic order and invoice exchange with suppliers will further reduce duplication of data entry, with workflow handling any invoice exceptions. Automated recharge pricing and billing, will remove the lengthy off-system reconciliation process in raising client invoices.
The AIM Board concluded that Templa has, to date, delivered a fresh and dynamic approach to managing the administration of cleaning contracts, backed up by valuable client testimonials. They were impressed with the future product direction and Templa’s commitment to their clients, so were assured of committing to a flexible, secure and scalable software solution, with excellent after sales support.
