Information General

Program Refund Policy Refunds will be considered for the following reasons:

• Class Cancellations/Park District Closings

Class Cancellations by the Park District will result in a refund that will be mailed to the person who was enrolled in the class unless the participant is a minor, the refund will go to the parent/guardian who signs the registration form. If payment was made by credit card, an automatic refund will be applied to that same credit card. If a class is canceled due to weather or Park District discretion, participants will either be given a make-up date or a monetary credit will be issued for the canceled class.

• Refunds 5 Business Days Prior to Class

Refund requests received 5 business days before the first class meeting will be accepted, less a service charge.

If the application is received less than 5 business days prior to the start of the program and it causes enrollment to fall below the minimum and the spot cannot be filled; no refund will be given.

• Refunds After Start of Program

Refund requests received after the second meeting of the program will not receive a refund with the exception of a written medical excuse prior to completion of the program. Fees will be pro-rated starting with the day the refund form is received in the Park District Office. A $5 service charge and program supply costs will be deducted from the amount of refund for each program, including medical reasons. Medical excuses will result in a pro-rated refund based upon the number of classes held prior to the date listed on the physician’s excuse. If the program falls below the minimum required and the spot cannot be filled, no refund will be given.

• One-day Program Refunds (with the exception of Klub Fun)

Applications for refunds for one-day programs must be submitted 5 business days prior to class starting in order to receive a refund. Refunds will not be accepted after the class has ended.

– All refunds will be issued in the form of a check, when a refund application is approved, before the class starts. Checks are processed by the Batavia Park District front office bi-monthly and sent via mail. If you would like the refund on the original credit card, please notify the office.

– All refunds applied for are subject to a $5 service charge. Instances where fees are $10 or less, the service charge will be based on 10%.

– Classes held at Geneva, Kindergarten Enrichment, Kids’ Club, Klub Fun, Kinder Club, New Horizons and Kamp Kaleidoscope participants are subject to different terms of refund and withdrawal policy. See parents’ manuals or program descriptions or email the recreation supervisor for more information.

– Please allow two weeks to receive refunds. Refunds will be applied to any outstanding balance owed on any programs or activities.

Non-Resident Fee Policy The Batavia Park District residents make a significant contribution to the operation of the Park District via property taxes. The boundaries were established with the formation of the Park District in 1969. A copy of a map showing the Park District boundaries is printed in the brochure and available at the Park District office. Persons living outside the Park District boundaries will be required to pay an additional fee to register for programs. The Non-Resident fees are divided into two categories: 1. Batavia city resident but not a resident within the Batavia Park District boundaries. BNR

2. Persons residing outside of Batavia and also outside the Batavia Park District boundaries. NR

Batavia non-residents will be required to pay an additional 15% on all Batavia Park District programs, excluding trips. The fee will be indicated BNR in Park District brochures. The non-resident fees will be 30% higher on all recreation programs, excluding trips. These fees will be indicated by NR in Park District brochures.

Electronic Signature Readers Electronic signature readers have been installed, which will eliminate the need for you to complete a paper form every time you register. The electronic reader will capture your signature and confirm that you’ve agreed to the liability waiver and release of all claims. Signatures will stay on file for 12 months, and after that time you will simply stop in to sign the waiver again. If you are a regular phone-in customer, we will need to capture your signature in person in order for you to do subsequent registrations by phone. Online registration will not be affected by this new procedure.
