Now it is time to start the practical details of your tour. A series of fundraisers needs to be established as well as a trip payment schedule for your students. If the trip is an optional one, have an initial sign up and deposit from each participant. You will need to select music appropriate for your performances, establish a rehearsal timeline and determine when and where to rehearse. Ask your tour representa- tive about music that will work well and discuss with music colleagues who previously traveled to that destination. You will also need to select chaperones – usually one per 10 to 20 students de- pending on the maturity of your group and experience level of chaperones. Remember, frequent communications and regular trip meetings for parents are essential. In addition, check to make sure all trip participants apply for passports far in advance. Have applications available at meetings.
Making a checklist is important to ensure important tasks are completed. You will likely be responsible for local bussing to the airport. Get all permits and forms completed early. Work with your tour company and chosen airline to develop an equipment list. If you are an instru- mental group, you will have to measure and weigh all instruments. Keep close track of whether any additional shipping charges will apply.
As the year of your tour approaches, consider establishing cultural informa- tion activities regarding your destination. Bulletin boards with maps and photos are great as well as historical information and facts about specific locations you will visit. Promote your performances with information on venues and potential audi- ences. Consider guest speakers on culture, mini language lessons, food samplings and, of course, play and listen to music of that culture!

Pursuing an international travel experi- ence for your music students will pay great dividends for your program. The work in planning that trip will be well worth the wonderful time you have performing and touring abroad. Most importantly you will be bringing the world into the lives of your students through the universal language of music and creating memories for a lifetime.
