Business Benefits Nick and Simon Gasson are joint Managing Directors of family-owned So Clean Cleaning and Support Services. Founded in Kent in 1995, the company has just passed the £4million turnover mark, and services close to 250 clients across 400-plus locations in London and the South East. Clients are mainly private sector offi ces, but the company has built up a strong presence in the high- end hospitality sector cleaning for a number of prestigious restaurants and an international hotel chain.


So Clean currently use Sage 50 for billing and accounts, Sage Pay for payroll, Microsoft Outlook to schedule variation and one-off work, Crimson Tide, for quality auditing and spreadsheets to track consumables sales and do everything else. But, this creates huge headaches. As Nick said: “With the amount of one-off work we do, I personally spend half my time staying on top of scheduling, ordering and invoicing which isn’t good. In addition to that, we’ve developed a good consumables trade, but if you want to invoice at different mark-ups to different customers – which is necessary so as not to lose business – then you’ve got another key area with the potential for making mistakes.


“And let’s not talk about payroll! Sage Pay just doesn’t recognise that contract cleaning staff can work at lots of different sites and cover each other. Add to that the time wasted by our Area Managers making all their payroll amendments on spreadsheets, and then handing them over to the admin team to re-key into Sage.” The list goes on and on.

brothers are excited about getting a management tool that will take control of so many critical business functions. Nick’s top three immediate benefi ts are:


• Area Managers being able to view and amend timesheets online in real time in CMS Pay


• Using CMS Work Bills to schedule variation work in advance without having to check every week to see what’s due


• Loading variable mark-ups into CMS Stores Control


In the longer term the company looks forward to making signifi cant admin savings by being able to grow revenues without a corresponding increase in costs. However, as Nick said: “We’ll be doing things in phases, making sure everyone’s comfortable with each module of the new software before the next one’s installed.”
