Does Your Organization Need to Take Additional Steps to Protect


Confidential Customer PII? While speaking with a human resources manager recently, I asked her thoughts regarding her company’s use of drug and alcohol testing service providers that do not perform pre-hire and reoccurring background screens on their employees (Harris 2014). Understanding that collectors and


breath alcohol technicians are exposed to donors’ names, dates of birth, employer names, phone numbers, employee IDs and social security numbers, she was

surprised these screens were not always performed by all service providers as an industry standard. Access to such sensi- tive, confidential and personal identify- ing information elevates the level of risk of loss or misuse of this information not only for your customers, but for your organization as well. Most companies recognize the need


to take a proactive approach to protect- ing confidential PII. A proactive program should include background screening for applicants and employees, as well as con- tractors that have, or will have, access to PII. Screening should be performed both pre-hire and on a periodic reoccurring ba- sis. Te scope of the background screen- ing should include an up-to-date county criminal felony and misdemeanor, federal criminal and pre-employment reference checks. More oſten today, global checks are being performed to identify people that may have been recorded for terrorist activities, drug trafficking, included on the FBI’s most wanted list, and more. A social security number validation is also normally performed. Background screening should be


combined with other security measures, such as building and office security, re- stricted and password protected access to confidential data, system hardware and software security protection to provide a more comprehensive data protection


program. Hard and soft copies of chain- of-custody forms, breath alcohol testing forms, record systems, and invoices that include PII present a significant risk for drug and alcohol test service providers. Appropriate handling and storage poli- cies should be implemented to ensure these documents and the donor’s PII are carefully safeguarded. Some additional factors to consider are: • Locked briefcase traveling systems for onsite services


• Encrypted emails, and no personal email use


• No utilization of cloud technology • Secure paper shredding • Up-to-date security software on organizational computers that house private personal information
