THE MEETING PLACE ➔ SMEs need to think smarter for MICE value

SMALL and medium-sized businesses could be missing a trick by not thinking smarter about meetings, according to meetings and conference experts Inntel. “Planning a basic corporate

MICE policy is not rocket science, but can make a big difference,” says Inntel's managing director, Douglas O’Neill, who is encour- aging SMEs in particular to wise up to the ways they book their meetings and conferences. He recommends those companies which regularly book meeting rooms or accommodation in a few specific locations to review their bookings and build a venue programme, negotiating a discount for regular use and even considering value-for-money venues such as village halls. O’Neill encourages planners

to double check whether their meetings could in fact be held internally or carried out using

exactly what is required will always get the best results in terms of value for money as they have less chance of wasting money on unnecessary items. Savvy buyers should also ask if any extras can be provided free of charge, he says. Those who do put an effective

videoconferencing technology, and says that when room rental is essential bookers should remember hire charges for Mondays or Fridays can be substantially cheaper than those for midweek events. Another tip is to steer clear of

pricey London venues but to simultaneously consider the potential travel costs and parking fees for delegates if held elsewhere before committing to a venue. O’Neill believes buyers who are well prepared with a clear brief of

MICE policy in place should also work hard within their organisation to communicate the policy and raise awareness of any approved hotels and venues secured. SMEs can also work with specialist organisations to create a bespoke policy. Meeting and event specialists can often gain SMEs the advantage of significant discounts they could not achieve alone and additional benefits can include room upgrades, free car parking and reduced (or zero) cancellation charges. Clients would also have the benefit of continually updated electronic and online management information.
