5 Tips for planning a memorable event


Pulling together an appreciation event can be a challenging task, says event planner Susan Roberston, owner of Wellness at Work in Mississauga, Ontario. Here are her tips for creating great memories for members and minimal stress for the organizers.


1. Start planning earlier than early


Depending on the complexity of the event, work many weeks or even months ahead to secure your preferred speakers, guest instructors, exhibitors, caterers, prizes and venue.


2. Clarify your goal


Before you create a game plan, determine your goal (e.g., “to create an experi- ence that strengthens members’ bond to our club and therefore boosts retention numbers”). Determine specifi cally what you want to accomplish, then be sure that all elements of your event support this.


3. Rustle up sponsors


Even if you’re not working with a shoestring budget, consider including people or businesses who want to contribute their expertise or products in exchange for expo- sure. Leveraging business relationships is always a win/win.


4. Attract a big crowd


Draw prizes, silent auctions, food and giveaways are always great drawing cards. Promote the event as many ways as possible via social media, posters, email, etc. Many people will still miss all of this so ensure that staff members talk it up, especially closer to the date of the event.


5. Get feedback Congratulations! Your event was a huge success and is fi nally over. Well, almost. Take


time aſt er every special event to get feedback from attendees. Ask them what went well, what could be improved and what ideas they have to make the next event even better.
