Section 2: Student data and data protection


Information about you It is vitally important that LJMU has a complete and accurate record of your personal information and programme details.


Every student is responsible for ensuring that the information on the University’s Student Record System is correct. This includes information such as your home and student address (if different), modules being undertaken in the current academic year, etc.


The University initially takes your personal data from your enrolment form. You should notify the University immediately to let us know if any of this information changes during the course of the year. All written communication sent by the University will be forwarded to the address held on your student record. If this address is incorrect, the University cannot be held responsible for any problems arising from the late receipt of information, nor is it responsible if your personal information is received and read by a third party.


Next of Kin/Emergency Contact Details


All students are asked to provide next of kin or emergency contact details. In the event of an emergency the University may need to make contact with these people. This information will only be used in exceptional circumstances.


Important note on data protection and the Data Protection Act 1998 (DPA)


LJMU is registered as a Data Controller with the Office of the Information Commissioner, as required under the Data Protection Act 1998.


The University will only process and disclose data within the terms of the Data Protection Act and its Data Protection Notification. The following details indicate the nature of this notification, but are not exhaustive. LJMU processes personal data relating to its current and former students for a variety of purposes, which will include:


• Maintenance of the student record (including personal, academic and financial details) and management of academic processes, (e.g. academic audits, assessment boards and awarding of degrees);


• The management of University residences, alumni operations (including fund-raising), and for security purposes within University premises;


• The provision of advice and support to students (e.g. via Student Zones, Liverpool Students’ Union (LSU), the Graduate Development Centre);


• Research purposes (such as the graduate first destination survey, employability surveys or longitudinal surveys).
