We are about to start the journey towards innovation, productivity and efficiency gains with Leeds Teaching Hospitals NHS Trust, where in May 2011 Winscribe won one of the largest digital dictation and speech recognition contracts in Europe, with a total value of over £1m.
The Trust expects to save over 10,000 work hours a year and deliver patient safety and other benefits.
One early win for trusts adopting digital dictation is eliminating the use of expensive consumables, such as tapes, while simultaneously improving accuracy and turnaround times.
Digital dictation files don’t get lost, they can be automatically routed to secretarial pools and typed up according to their clinical priority, and the finished document can be reviewed electronically.
Trusts using digital dictation have shown reduced use of secretarial time, increased accuracy and drastically improved document turnaround times.

NHS Trust, for example, piloted digital dictation in 2009.
In just one department, the Trust achieved a reduction in document turnaround time from 51 hours using analogue tapes to 29.5 hours with the digital solution and saved over 374 hours of secretarial time over two weeks. The solution is now used Trust-wide, and document turnaround times rarely exceed 48 hours.
More recently, trusts using digital dictation have started to integrate electronic documents into wider workflows, enabling them easily and quickly to produce accurate electronic discharge summaries.
University Hospitals Birmingham Foundation Trust went down this route in 2010, integrating its digital dictation solution with a document production module.
The DPM automates electronic management of clinical correspondence end-to-end, increasing efficiency and patient safety. UHB creates over 700,000 clinical letters every year, including 30,000 new outpatient attendances each month.

to electronic files that are then automatically routed to secretaries for typing using Winscribe. The typed letters are reviewed and approved electronically by clinicians before distribution to GPs.
The letters are automatically included in the patient’s electronic record and can be viewed using the Trust’s clinical portal, usually within a day of dictation.
The result? Departments using the DPM are experiencing document turnaround times of 24-hours with 99% transcription accuracy. The DPM is now being integrated into other systems such as outsourced transcription and e-prescribing.
West Suffolk NHS Foundation Trust has integrated digital dictation with the hospital Patient Administration System and added a search function. Clinicians can now search all files produced in Winscribe using a wide range of criteria. IT returns results in five seconds.
Elsewhere, NHS Trusts are moving from digital dictation to voice recognition. Winscribe is fully integrated with Nuance Dragon Speech Recognition and can deliver over 95% accuracy with just five minutes training. We are also mobile
