Using best of breed clinical documentation solutions can improve the efficiency of administration services. Andy Rennison from ScribeTECH explains why.

linical correspondence sent out rapidly with high quality and at lower cost? Quite a
goal to achieve when timelines are days or hours and huge cost savings need to be made. By using established technologies, administration services can now be restructured to release efficiencies, enabling Trusts to meet these aims and improve their performance.
Medical secretaries perform many tasks; a number of these relate to the production of clinical documents. High quality pre-typing removes a good proportion of the time a secretary spends producing each document. When combined with efficient document workflow software, significant efficiency gains can be achieved.
Clinical experience
With over eight years of direct practical experience in reforming clinical administration, ScribeTECH has evolved a comprehensive set of tools and services enabling Trusts to systematically plan and deliver change to meet QIPP agendas.
The UK management team includes ex-clinicians with specialist advisors available when required. This structure and experience enables ScribeTECH to meet its mission statement: ‘The right information to the right person, so they can give the right care at the right time – every time’.
ScribeTECH provides scalable solutions, with accounts ranging from individual clinicians to Trust- wide deployments of more than 400 clinicians in over 60 specialties.
Technology Typing service
Digital dictation combined with a capable document workflow solution is required to enable pre- typing of documents. ScribeTECH provides ScribeNET, a clinician designed complete digital solution, which enables clinicians to be

included in the document workflow path. By utilising this solution it is possible to make the document production a paper-light process.
Recognising that Trusts may have already invested in digital dictation, ScribeTECH also partners with other leading suppliers of digital dictation systems. This enables document pre-typing to be performed.
ScribeTECH employs a team of software engineers who provide the necessary expertise to connect to other hospital systems. ScribeTECH solutions can also be modified to meet the needs of individual Trusts.
The transcription centres have been awarded the prestigious ISO 27001 certification by the British Standards Institute. This is the most comprehensive information security management available, and is fully aligned with the NHS IG Toolkit requirements.
Environmentally friendly
ScribeTECH is an environmentally responsible organisation, and is certified to ISO 14001 for environmental responsibility.
Procuring services
Documents are checked by a second person before being returned, proofing ready, to the Trust. A random sample of 3% of all documents is performed by the independent quality assurance department to monitor performance against contracted quality levels. Production teams ensure that all work is returned within the agreed turnaround time. ScribeTECH’s quality systems have been certified to ISO 9001.

ScribeTECH is contracted to the NHS Commercial Solutions national framework to supply all its services and products. This makes it easy for a Trust to procure its services without needing to undertake an expensive OJEU tender. Contact ScribeTECH for further information.

confidentiality and privacy are protected when using an outsourced provider. ScribeTECH has robust technologies and systems in place to ensure the highest levels of protection are provided. These provisions have been scrutinised many times during OJEU tenders by Trusts and procurement hubs, and are completely compliant with the NHS IG Toolkit requirements.
In addition to these provisions, ScribeTECH has consistently invested heavily in its own transcription centres, which are wholly owned by ScribeTECH and fully managed by the company.
This complete independence has enabled the company to devise and evolve systems devoted uniquely to UK clinical transcription.
