Dave Kerrison, programme manager at North Staffs Health Intelligence Service, details the positive feedback that the pilot of NOMAD with Olympus devices has been having at one trust.


N


orth Staffordshire Combined Healthcare Trust has been piloting NOMAD with Olympus


devices since August 2011. NOMAD is implemented across three departments on three separate sites – namely Neuropsychology at Bucknall Hospital, the Sutherland Centre and the Greenfields Centre – and is due to be rolled out to the Lymebrook Centre in Bradwell and Brandon Centre in Cheadle.

“NOMAD saves time on daily tasks allowing me to focus on patient care, ensuring letters and reports of the highest quality standard go out on time. A great saving in time has been achieved now that the latest demographic details are automatically downloaded from CHIPS (our PAS). Previously we had to check the latest details on CHIPS for each patient.”


“NOMAD provides an overview allowing work volumes to be managed efficiently, particularly in times of high volume, sick leave and annual leave. Authors’ work loads can be allocated over multiple secretaries in a simple drag and drop action. Managers can provide cover during staff shortages. There are only three secretaries in our department yet we were still able to manage our workload when one went on long-term sick leave. Normally backlogs would have built up. Previously I could only allocate two hours per month to other tasks. I can now allocate at least two hours per week.”

Storing the voice file against each job with access to drag and play at a certain point saves time in scrolling through tapes. Individual recordings provide flexibility, preventing having to type whole tapes before moving onto the next.”


“The solution provides a good audit trail and single view allowing administrators to follow the process across departments or the trust as a whole. Outstanding work can be seen at a glance and dealt with quickly rather than looking for a piece of paper to move the process on. Urgent files appear in red at the top of my priority list allowing them to be processed quickly. Storage and retrieval of letters is quick and easy.”

“From an author’s point of view the solution is more versatile, allowing dictations to be downloaded from


any location with access to a PC on the trust network. The Olympus devices are robust, easy to use and provide excellent sound quality. “Turnaround is much quicker with NOMAD. As soon as the letters are docked the typing can be done and sent back to the consultant for approval. Initially the trust viewed digital dictation as a replacement for tape systems but NOMAD has opened our eyes that in fact it offers so much more.


As seen from the comments above savings have been seen already and we are due to quantify these through a cost benefit analysis study and a benchmarking exercise. Further savings will be generated from electronic dispatch to GP’s and comprehensive performance review of statistical reports.
