How much would you gain from an integrated software system to manage your cleaning business?

The answer’s probably “quite a lot” if, like most cleaning company directors, you manage your front line operations and back office admin with a combination of off-the-shelf software packages and a complex raft of spreadsheets. But contract cleaning is not an off-the-shelf business. It’s a resource hungry activity characterised by three things: • A far greater than usual number of processes to ensure compliance with legislation, internal requirements and client demands.

• A need to store and retain information on these processes in relation to hundreds of sites and contracts, not to mention thousands of staff.

• A payroll more complex than any other industry’s due to the sheer number of staff, the regular turnover, multi-site operatives, non-52-week contracts, absence, staff covering for one another, complicated holiday entitlements, fortnightly pay runs… Where does the list stop!?

Together, these place a huge demand on admin staffing levels and operational management’s time, potentially resulting in lost profit and the oft-heard cleaning industry lament: “My staff spend far too much time on admin and too little on managing staff and clients”.

So why don’t cleaning contractors take advantage of specialist contract cleaning software to streamline their business processes and release more cash to the bottom line? Well the answer is a few do, but the vast majority still haven’t taken the plunge. Of course some use off-the-shelf packages – mainly for payroll, accounts and billing, but occasionally for quality monitoring, stores control and sales development – and they experience the frustrations of managing

Two reasons why clients choose Templa The first is that Templa CMS is the only truly integrated system. Not only are the fourteen business modules all inter-connected via the central contract administration database, but the system operates with its own integrated accounts and payroll packages – Access Dimensions and Access SelectPay. The result, unlike other bespoke packages, is that when you run your business on Templa CMS, it really is the only system you need – one system, one screen, no spreadsheets.

several unconnected systems (and suppliers), most of which don’t cater for the idiosyncratic nature of the contract cleaning industry. One of the most common ‘symptoms’ of this situation is constantly having to download data to spreadsheets for financial and operational analysis purposes.

So is it the fear factor of running your business on a single software system, or the perceived difficulty of setting it all up that stops companies using unique software?

Needless to say it’s probably a combination of both, and of course we spend a lot of time with new clients putting their mind at rest on these questions. What we can say, however, is that at Templa we are delighted to have cleaning companies with turnover ranging from £3m to £80m as clients of our Templa CMS cleaning contract management software.

The second is that we have a strong commitment to development. Not only do we listen to individual clients during implementation to make sure their specific business requirements are catered for with our software, we also use our client group as a testing ground for new innovation, such as our new CMS Servicepoint modules which include Customer Service, Quality Audit, MobileCMS (for tablets) and Customer Portal. So not only do our clients never get hung out to dry when something goes wrong; they’re always bang up to date with the latest new release.
