‘We run the village May Fair’

‘After running the village May Fair for 10 years, our local Scouts group offered our school the opportunity to take it over. Seeing the financial potential, we decided to give it a go. The Scouts gave us guidance and a list of their regular stallholders (pre-GDPR) to kick-start preparations. For our first event in 2017 we had four intensive months of planning, keeping the format and pricing similar while adding our own stamp. The event was held on the village

recreation ground on the May bank holiday, from 12-4pm. There was no admission charge and we arranged free parking at the local pay and display, village hall and a nearby field. A building developer funded the

programme printing and erected signage, and advertising slots in the programme were sold to local companies and given in exchange for prizes. Programmes were distributed to homes in the village and surrounding area, and also by local businesses. We gathered parent volunteers via assemblies, social media

and flyers in book bags, and we awarded prizes for the most volunteer hours by class and house. We raised funds for outgoings with a non-school uniform day, and kept costs to a minimum by looking out for deals on alcohol, and sourcing free rolls from a bakery and free ice from a supermarket. We had a mix of stallholders, including

the fire service, a butcher, crafts, books, face painting, street food, ice creams, fairground rides and an inflatable slide. Pupils opened the fair with a maypole

dance and other local acts performed. The PTFA ran the bar, BBQ and hog roast, as well as the crockery smash, bottle tombola, dog show and raffle. Our target was £4,500 in the first year

but we exceeded it by £1,100. Last year, we raised £7,120! Our biggest profit-makers were the bar, grand raffle and BBQ. Feedback has been amazing, and we’re predicting 2,000+ attendees this year!’ Lizell Williams, PTFA chair, Headcorn Primary School, Headcorn, Kent (240 pupils)
