MANAGING YOUR PTA – Planning
Our calendar aims to help you make the most of every month – staying on top of PTA business while linking to national events
December
TO DO: Even once the fair is out of the way, there is still the job of thanking all those who helped make it a success! Write to any businesses that provided raffl e prizes or sponsorship, confi rming how much the event raised. The end of the fi rst term is a great time to promote your PTA, so send out a letter highlighting how much you have raised this term and how it will be spent. Thank everyone for their support. EVENTS: The Ramblers Association’s Festival of Winter Walks (23 Dec 2017 to 7 Jan 2018)
ramblers.org.uk
January
TO DO: Start thinking about your summer fair – establish a sub-committee, agree a theme and consider key attractions. Plan a bedtime stories event for World Book Day in March – did you know that it’s 50 years since The Tiger Who Came to Tea, The Owl Who Was Afraid of the Dark, and Elmer the Patchwork Elephant were published? EVENTS: National Storytelling Week (27 Jan to 3 Feb)
sfs.org.uk; Burns Night (25 Jan)
February
TO DO: Pucker up with all sorts of Valentine’s Day-themed events, including discos for pupils, a pop-up restaurant night for parents, or a family fi lm event screening a movie that has strong themes of love and friendship (Shrek, anyone?!). While you’re relatively quiet, tackle any housekeeping jobs that you’ve been putting off. EVENTS: Valentine’s Day (14 Feb); Chinese New Year (16 Feb)
June
TO DO: Hold a Royal Ascot-inspired race night (posh hats optional) – more on p34. Run a simple Father’s Day fundraising initiative such as a secret gift room or a big breakfast. See
pta.co.uk for ideas. Will your PTA be selling refreshments to parents at sports day? Or perhaps you could serve bacon butties in the time between drop-off and the children coming out to compete? EVENTS: Eid al-Fitr (14-15 Jun); Father’s Day (17 Jun)
July
TO DO: Finalise any plans for events to welcome new families at the start of the academic year. Meet with the Head to get dates in the diary – for the fi rst PTA meeting and major events such as the Christmas fair, etc. Gather a few of your team together to do an inventory of your PTA stores – does anything need replenishing, repairing or throwing away? Provide a breakdown of how much each PTA event raised and thank everyone for their support.
PLANNING TIPS It’s better to run a few events well than get carried away on a tide of enthusiasm only to fi nd your volunteers are running for cover and ticket sales are dwindling! Plan out a calendar of activities that includes a good spread of events – for children and adults as well as non-event initiatives – across the year. Factor in any support you might be asked to provide at school events too, such as end-of-year productions or carol concerts. We have a wealth of guidance on our website, from writing a fundraising strategy
to brainstorming ideas and recruiting volunteers. Go to
