Open Session minutes Billings, Montana • July 24, 2015
PRESENT: President Chuck Manley, Vice President Jackie Hughes, Secre- tary Muriel Farrington, Treasurer Wes Fitzer, and Directors Greg Feeler, Marsha Hall, Vance Harrelson, Stan Herman, and Executive Director Bob Aldridge.
ABSENT: Director Bill Hooykaas
STAFF PRESENT: Bill Wiegand, Ken Engelman, and Ted Moyer.
MEMBERS PRESENT: Eric Peterson, Denny Pink, Gary Blakney, Gordon Olson, Lee Schumacher, Tom Butters, Yvon L’Heureux, Tammy and Ken Decroo, Paul Wilson, Phil Ostren, and Bob Robertson
The meeting was called to order by President Chuck Manley at 8:54 a.m. MDT. Chuck welcomed those in atten- dance, explained the meeting proce- dures and introduced the Board Members.
Officer Elections Results – Muriel Farrington The Board elected the following for a one-year term: President: Chuck Manley Vice President: Jackie Hughes Secretary: Muriel Farrington Treasurer: Wes Fitzer These positions remain the same as the previous year.
Treasurer’s Report – Wes Fitzer The balance of our investment fund stands at $822,143.40 as of yesterday, This is in excess of our long-term lia- bilities. We are in the process of

transferring our current account over to indexed funds under a new investment manager.
Executive Director’s Report – Bob Aldridge Bob introduced those staff members in attendance, Bill Wiegand, and Ken Engel- man. He reported we have a YTD income of $1,574,300, consisting primarily of Adver- tising and Membership income. Cost of goods sold is $457,277 (mostly the cost of the ON). We have a new printer, Quad Graphics, starting with the August issue. They are producing great savings and excel- lent quality. The ON is trucked to various regions, then mailed, giving us a three-day window from point of shipment. Thanks to Bill Wiegand and Karin Halker for all the effort they continue to put into the ON. Our Investment Income YTD is down a bit due to market fluctuations.
Managing Editor’s Report – Bill Wiegand Bill emphasized our new printer relation- ship and the positive results from that rela- tionship. Besides the cost savings, the 3-day delivery window is the most exciting.
Denny Pink said the ON is better than it ever has been. It is keeping up with our times. Chuck commented about the many positive changes under Bill’s tenure and expressed his appreciation to Bill.
Business Development Report – Ken Engelman Bob said that Ken joined us in January. Ken said we’ve been growing with new member benefits, partnerships, and advertisers. We have a stronger relationship with BMW NA; we’re going in the right direction, and Business Development is increasing as
planned. Chuck asked if members had checked out our member benefits pages lately – you’ll be surprised.
It doesn’t take
long to get back the $40 in value over what you paid for membership. Ken added if you can think of member benefits you want, let Ken know.
Director of Membership and Marketing Report – Ted Moyer 1. Membership as of three days ago stood at 32,297. This is the highest number in at least three years, and it doesn’t include new members who signed up at the rally.
2. The Gear Store is full of new stock, check it out. Gear Store Chair Jackie Hughes reported sales of $46,000 yesterday! Three years ago we sold about $25,000 during the whole rally.
3. Registration had a little backup Thursday at the beginning, but the processing is very fast with little or no backup since.
4. We put our new Rally App out on the street and 15 percent of members here have downloaded it. It gives updates on rally events. The Games take a little bit of time.
Chuck related some of Ted’s major accom- plishments, including the web page, registra- tion, the website, the Gear store, and of course Membership.
COMMITTEE REPORTS Chuck explained how the committees are set up and how and when they meet.
Operations- Jackie Hughes We basically work with anything inside the structure, such as the bylaws, budget, and policies and procedures. Election Process: We considered online balloting, but after considering the cost,
