HELLO EVERYONE. THIS MONTH I’LL TRY TO ANSWER MANY OF the questions I receive regarding the MOA Board of Directors. Adjacent to this column you will find the names of the four Officers and five Directors currently serving. We hail from Illinois, Washington, Okla- homa, Vermont, Idaho, Alabama, Colorado, and Ontario, Canada. All of us are riders and we’re all volunteers. Directors are elected every two out of three years. Year one, four Directors are elected. Year two, five Directors elected, and year three is a
non-election year. Director terms are three years. The four Officers are elected by the nine - member board annually. The Board of Directors meets in person four times a year. In January and April, two-day
meetings are held in St. Louis, Mo. The July meeting is an abbreviated meeting held during the International Rally, and the October two-day meeting is held at the following year’s International Rally site. Board members are reimbursed travel and motel expenses for the January, April, and October meetings. Board responsibilities include setting operational policies and overseeing the financial
well-being of the club. The work load is divided between three standing committees: Events, Volunteers, and Operations. Five board members serve on each committee, along with the President and Executive Director as advisory members. Projects assigned to committees receive a thorough review before being brought to the
full board for consideration. The committee recommends what action should be taken, and a board discussion follows to answer any questions. A vote then takes place and if approved, the project is forwarded to MOA staff. Events Committee responsibilities include review and selection of future rally sites and
MOA Getaways. The committee recently surveyed the membership regarding future events and is currently reviewing your responses. Providing you with more opportunities to gather with like-minded riders is the goal. The Volunteers Committee coordinates the MOA award and recognition programs and
the many Key Volunteer staff positions. Most recently, the committee has been imple- menting the new Regional Coordinator program with the goals of increasing interaction with MOA Chartered Clubs, building BMW Dealer relationships, offering regional events, and increasing MOA membership. Operations Committee responsibilities include review and updating the Policies and
Procedures Manual, keeping Club Bylaws current, and working with the Executive Direc- tor to formulate the annual budget. A review of the investment account performance and a year-to-date budget review are performed monthly by this committee. How do we get anything done with only quarterly meetings? By using email and tele-
phone conference calls. Committees use email to discuss and review projects. Then, once a month each committee meets on a conference call to discuss ongoing business. The full board also meets monthly on a conference call to receive reports from the committees, the Executive Director, and the Treasurer. Minutes are recorded by the Secretary, and any actions taken are reported at the next quarterly board meeting. Conference calls usually last an hour but have been known to last two hours or longer.
