FEATURE

The Access Group, whose Access Maintain platform is a proven, effective property management solution. “The platform is cloud based and has an app so it can be used on the go and gives complete visibility and transparency for West Mercia Staff and, importantly, contractors and end users,” explained Jon.

“As a system, we have benefitted immensely from its ease of use and its functionality to enable enhanced management of our assets across the portfolio, with a key feature being how the system guides users in routing the appropriate response to reactive work. The system allows the estate team to automate the entire workflow, reduce paperwork, emails and manage reactive and planned maintenance in a timely fashion.”

Effective solutions Access Maintain quickly started to demonstrate its value, with the system driving some immediate areas of improvement. The vastly improved management of data has enabled the most efficient planning of PPM and reactive work across the WMP estate, alongside its ability to manage work quotations so that costs are captured, controlled and easy to audit.

“Everything is online and we can access what we need in real time,” added Jon, “meaning that WMP has full control, enabling complete transparency and visibility across the estate.”

Immediate benefits Although the full benefits of using Access Maintain CAFM system will be delivered to WMP over a period of time, an instant cost saving was recorded by removing the need for a 24/7 helpdesk function which had previously been supplied at a great cost to the force.

Time savings have been recorded by removing the need for the Estates team to send emails and then wait for responses, with Access Maintain providing the functionality for colleagues to see at what stage any PPM/quotation/ instruction is, at any time. This is particularly useful when colleagues have to provide cover for each other.

WMP has also strengthened supplier relationships, with positive feedback from contractors, particularly in respect of the ease of use of Access Maintain, its transparency, and the real time engineer app.

Delivery, reporting, regulation and

compliance expectations In such a regulated environment, Access Maintain is already making a significant contribution to balancing costs, realigning supplier relationships and providing resilience and confidence in a time of great uncertainty.

It helps to provide an interface between the forces staff and procurement team, enabling them to understand colleagues’ challenges better and develop solutions around them. Everything is online and real time, giving the WMP team full control, with complete transparency and visibility across the estate.
