Ensuring your new CAFM solution will actually do what you need it to is vital, so it’s worth taking the time.


Take a quick test drive lesson Whilst CAFM should be easy


to use and logical to fi nd your way around, it’s always helpful to have a short lesson fi rst; just a few pointers to help you get where you need to.

Test it works well remotely Ensure you can access your


solution remotely using your existing laptops or smart phones. Gone are the days that you should need to buy new hardware to work out and about in the fi eld, or from home.


Play with the reports You should be able to create and


save your own reports but start by looking at the standard reports to get a good idea of its functionality.


Check the ease of exporting Double check how straightforward


is it to export your data or reports. There is little benefi t in storing your estates and buildings documentation and data if you can’t access it easily. Practice downloading it into Excel or

PDFs or by looking up the buildings data on maps overlaid with GIS to see how useful the output is.

Invite colleagues to try it See how easy your team


members and colleagues fi nd the new CAFM. Different roles may require different functionality, so their feedback will be invaluable to ensuring you purchase a solution that meets everyone’s needs.


Brainstorm with your team Once you’ve had a test drive,


brainstorm with your team how you could use the CAFM and identify any gaps that it doesn’t cover. You may well fi nd that it could do it all along, however fi nding something important after you have signed on the dotted line can be costly.

The dashboard is the heart of your CAFM, so ensure it can be easily personalised to show you what you need to know in an instant.

Does it come in any other colour?


This may sound picky, but a good solution will enable you to fully customise not just its colours, but its layouts, content and fonts. This


ensures you can choose exactly the right set up for you.

Check it’s scalable And fi nally, double check


your new CAFM can be adopted in modules. Not only will this enable you to add further modules at a later date if your needs change or increase, but just as importantly building up your CAFM one or two modules at a time will be far easier to adopt. Bite-sized chunks remove the frustration of trying to take on too much in one go, enabling smoother implementation.
