TECHNOLOGY

SPONSORED BY: TEMPLA Adapting to modern demands

Rick Stoor, MD of Templa, explains how real-time web applications enable the stakeholders in a cleaning/FM contract to work effectively together without speaking face-to-face.

In such a people-intensive industry, it’s odd to be discussing how to reduce face-to-face contact. Yet the reality of cleaning/FM is of an out-of-hours, site-based industry where office staff rarely see field managers, field managers rarely see operatives, clients rarely see anyone and suppliers deliver goods and services unnoticed. All the more reason to make communication between the different stakeholders as easy as possible.

Throw into the mix pressure on margins, forcing contractors to manage employees and suppliers as efficiently as possible, and the stage is set for advanced data communications technology to get the best out of integrated contract management systems.

Integrated workforce management software is now indispensable

With frontline labour typically absorbing 80% of a contractor’s revenue, the cost- efficient management of labour is critical to profitability. Workforce Management – ensuring that the right staff are in the right place at the right time, completing their shifts in full and being paid correctly – sounds easy, but managing hundreds of remote staff in a way that leaves clients satisfied, but keeps your margin intact, is harder than it sounds.

Critically, there is a wide gulf in effectiveness between standalone ‘workforce management software’ that just handles scheduling or time and attendance, and integrated workforce management software that manages every aspect of your employees’ activity, from joining your company to working on client contracts and interacting with your HR and admin teams.

The diagram shows how integrated software allows all elements of the system to share data from the contract database, permitting it to pass seamlessly between them in order to run processes smoothly. This is only possible in an integrated system.

Web-based portals make real-time 24/7 management a reality

10 years ago, a contract management system required all users, whether HR, admin or operations management, to visit the office to use the system. Four years later, the Templa Mobile App meant that field management could carry out simple tasks like quality audits or stores orders on a mobile device which then synchronised data to the head office server when next online. Fast forward to 2020 and TemplaCMS is introducing web application technology, in the form of security-controlled data portals that give all stakeholders real- time access to the live contract database in order to view information and perform tasks.

For operations managers this means real-time access to Roster Manager, Timesheets, Quality Audits, Advanced Forms, Workbills and Equipment Control. For operatives it means access to Payslips and company Communications and the ability to view personal data. For mobile teams it means access to daily schedules and Workbills. For suppliers it means access toWorkbills and for clients it means access to Invoices, KPI reports and Compliance documents.

The benefits? In the busy world of

cleaning/FM, what stakeholders want is to access up-to-date contract information and to work with it at a time that suits them, helping them to

stay on top of their work.
