Planday revolutionises workforce management for shift-based businesses
usinesses in the hospitality sector have increased their use of digital technology rapidly over recent years, reaping ben- efits in marketing, bookings, payments and inventory management. However, some processes are still rooted in the last millennium with most still using pen and paper, spreadsheets and calculators to handle one of the most critical parts of their operation: their people. To deliver a great expe- rience, all departments must be fully staffed with people who have the right skills and attitude to excel in service delivery. This can be hugely frustrating if the manager’s spread- sheet becomes the bottleneck in managing rota changes.
Planday started to solve this
problem in Scandinavia in 2004, taking rotas online and thus ena- bling everyone to log in and view the most up-to-date version of the schedule. With the rapid rise of smartphones, Planday extended the capability to iOS and Android phones, allowing employees to swap shifts, bid on open shifts, communicate with their col- leagues, view their payslips and stay apprised of company news all from their smartphone. This not only helped managers ensure more control over their staffing but also empowered employees, giving them more flexibility to manage their time.
“Everyone was talking about this
new, efficient way of
managing their
workforce”
“Planday has become a fundamental part of running a smooth business,” says Planday chief executive Christian Broendum. “Our clients often remark that they don’t know how they coped before, and if they had to go back to their old ‘top-down’ scheduling processes, they would need to hire more managers.” The company grew rapidly in Copenhagen through word of mouth – everyone was talk- ing about this new, efficient way of manag- ing their workforce. In a region fast to adopt new technology, Scandinavian businesses are also highly regulated with union, holiday and work-hour rules. As a result, the solution had to be made extremely flexible to manage these ever-changing conditions quickly and easily. That means the system lends itself perfectly to the UK. Planday is designed to inte- grate with other systems, such as electronic point of sale and payroll. “These integrations not only make the business run even more smoothly, but also enable the reporting and analysis of key business data,” adds Broendum. Customers reap three key ben- efits: 75% less time on admin, 5% less wage costs as you only pay for actual worked and sched- uled hours, and a 20% improve- ment in employee engagement and retention.
