Free maintenance software
Many schools and trusts manage the maintenance of their buildings and assets manually, or by using spreadsheets. However, sharing and reporting on asset management has been challenging during lockdown. Software provider Altuity is therefore offering schools free (and no obligation) access to the maintenance management features in its AltoSites programme until September. AltoSites allows you
to record, update and manage reactive and planned maintenance. It also provides SBMs with access to key maintenance metrics (such as make, model, service date, defects reported) via a dashboard. The software uses visual tools so that managers can view jobs and prioritise work. The system is cloud-based (so won’t require local installation) and Altuity can provide free 20-minute online training sessions. You can choose to manage data on a map background provided by Altuity, or using your own floor plans, if you have them. At the end of the trial, you can
export your data to a spreadsheet or move to a paid subscription. Existing customers are being offered free extra dashboard licences to help

them report and share information they’re already managing within AltoSites. Altuity founder Steve Voller says: ‘We think it’s important to help schools at this time of unprecedented challenge. Priorities have changed, and working practices have changed. Any school or trust still using manual or spreadsheet processes may be struggling to record, coordinate and communicate their maintenance activities.’ Despite lockdown,

Altuity worked with the Churchill Academy and Sixth Form in North Somerset to develop a solution to manage the school’s assets more effectively. ‘The AltoSites software has given us a clear overview of our assets and contractual obligations,’ said deputy headteacher Mark Branch. ‘Centralisation has saved the school a huge amount of time and has proved a cost-effective solution that’s worth its weight in gold. The site-plan format
allows staff to view which assets are associated with which buildings. We also receive automatic alerts when contracts are coming up for renewal or boilers needed servicing, and we can schedule compliance and store all our health and safety documentation, records of visits and policies in one place.’ Populating the system even provided IT work experience for a sixth former, who was able to upload details of the school’s assets.
