The CAI-OC September educational program was a wake- up call to the dangers of ignoring your association’s maintenance needs. “The Cost of Waiting: How Your Maintenance Approach Can Save Your Community Time, Money, and Energy” was a strong reminder that as communities age they need a professional approach to ever-changing, ever-increasing maintenance requirements.
Ryan Darby, Regional Manager for Action Property Management, Felicia Baker, Partner at AD Magellan, and Sean Andersen, President of Association Reserves reviewed several areas where deferred maintenance can cost everyone in time and money.
The panel explained that there are several obstacles to associations funding maintenance projects, from not wanting to increase assessments in order to keep up with inflation, to being afraid to enter into a contract that will spend hundreds of thousands of dollars. Many board members choose to prioritize large maintenance expenditures based on an emotional reaction rather than a logical evaluation.

There are three different maintenance approaches: reactive, where boards address problems as they arise, preventative, where boards regularly perform maintenance chores on roofs and other infrastructure, typically planned a few months ahead, and predictive, where boards create a multi- year global plan to keep maintenance on track, and annually adjust both the plan and the funding to account for changes in the association.
A predictive plan can take advantage of available discounts as the work is scheduled months or even years in advance and save time and energy by ensuring that everyone knows when required maintenance will be performed, even if the component has not yet failed. It builds trust between the management company and the association and can decrease the need for special assessments.
Our panel of experts painted a picture of manager, construction company, reserve specialist, and association board members working together to create a professionally-run community, where there are fewer surprises in the ever-changing world of association maintenance.
