For example, management software can automate invoice processing, work order processing, and task and status follow- up. This software can also provide managers and board members with remote access to HOA records, allowing them to retrieve the necessary documents easily. Additionally, communication with homeowners can be streamlined, and managers can keep track of items noted during property walks with ease.


Mobile Tech: Driving Efficiency On-the-Go! The advent of wireless technology such as 5G and WiMAX (Worldwide interoperability of Microwave Access) will make it possible to complete many HOA-related tasks on mobile devices, further enhancing the efficiency of HOA management. The technology needed to complete site visits on mobile devices has been around for several years, but if we are being honest, it’s typically been slow and ineffective; mainly because of dead zones and slow wireless connections. With 5G and WiMAX, this will be a thing of the past. Photos can be uploaded, and letters and/or work orders issued in a snap!


Balancing the Books: How AI is Rescuing Humanity with Accounting Another area where AI and technology can be beneficial is in accounting. With the use of advanced accounting software, HOAs can track and manage financial data more efficiently. This software can also generate financial reports and help managers and board members identify potential problems or opportunities for savings. Furthermore, AI-powered systems can alert managers to irregularities in financial transactions, minimizing the risk of fraud or embezzlement. As an example, I’m sure I’m not the only manager to receive a duplicate invoice from a vendor. In most cases, I’m sure it’s a mistake, but if we do not catch it, it can throw an HOA’s budget off track. Let’s be honest, it’s not a fun experience explaining to our board that we messed up. With advances in AI, invoices can be scanned for things like duplicate invoice numbers, similar work descriptions, and amounts. This is technology that we are seeing in today’s management software, and it’s only going to get better in the coming years.


Play Nice and Stay Compliant: Using Technology to Master the Art of Enforcement Enforcement of governing documents, including the rules, is also an essential aspect of HOA management. With AI and technology, this process can become more efficient and effective. For instance, management software can automatically generate violation letters and track the status of each violation. As previously noted, we managers can use wireless technology

to capture evidence of violations, such as photos or videos, and upload them to the management software. This process makes it easier for board members and managers to monitor and enforce compliance with the governing documents.

This includes the use of digital platforms such as email, social media, and instant messaging to facilitate efficient and prompt communication. This technology enables HOAs to inform homeowners of upcoming events or schedule changes, gather feedback, and allow homeowners to select their preferred mode of communication. The technology also streamlines communication between managers and service providers, leading to improved response times and better service quality. Homeowners can even receive text messages using some management software, and web portals provide access to account information, letters, photos, videos, and the status of maintenance or work order requests.


Revolutionizing Your Life: The Impact of Large Language Models Speaking as a community manager, I am always looking for ways to make my job easier and more efficient. And one technology that has caught my attention recently is large language models (LLMs), such as Chat GPT. These AI-powered models are helping me draft better meeting agendas, write clearer policies, and they have been extremely helpful in my efforts to communicate more effectively with homeowners and vendors. With LLM’s, I can quickly generate high-quality content, such as meeting minutes or newsletter articles, without spending hours writing or editing them. I also use these models to help me answer homeowner inquiries and provide accurate information about community rules. They even help me summarize the occasional manifesto I receive from a certain homeowner who shall remain nameless. I’m sure they live in one of your communities as well. All joking aside these LLMs help me save valuable time by reducing a lengthy letter or email to its key points and can highlight any requests made. LLM’s also help me compose thoughtful responses to these types of emails.


LLM Masters Beware: Why Ethics Matter More Than Ever! As with any technology, we must use large language models responsibly and ethically. We must ensure that the information generated by these models is accurate and complies with all applicable laws and regulations. A known issue with LLMs, such as Chat GPT, is their tendency to hallucinate. A hallucination occurs when an AI system gives a confident response that is simply not factual. This can result in the LLM providing incorrect information or providing a random and inaccurate number as a response to a query.
