As the use of integrated management software systems becomes more prevalent in the cleaning industry, Rick Stoor, Managing Director of Templa, explains how TemplaCMS is satisfying the demands of the UK’s leading cleaning contractors.


The last couple of years have seen a noticeable change in the intensity with which contractors are using management software. Two years ago the emphasis was on controlling payroll costs and managing billing. Then quality auditing became the ‘must have’ feature. More recently, however, we have seen a distinct change in which the software’s genuine ability to integrate all business processes has become the decisive factor in choosing a system – in simple terms, its ability to share data seamlessly across the contractor’s business, its suppliers and its clients.


There are four reasons for this new emphasis on integration:

Contractors are becoming more confident in the use of


the software and of its value in streamlining their business.


They realise that the benefits secured on payroll, billing


and quality can be just as easily replicated across other processes, such as sharing data with accounting systems, giving clients access to contract KPIs, and supporting the sales process through lead generation and producing sales quotations.


They are rightly asking the question: “If I am discarding


unconnected legacy systems in favour of one integrated system, then why should I need to export data from one area to another to make it work?”

The rollout of mobile tablet technology to field managers


to improve their productivity has made it vital to provide them with accurate and up to date information about their accounts – for example real time data on payroll.


So it stands to reason that the most attractive software package will not only provide comprehensive coverage of the business, but will genuinely operate as one integrated system – which is where descriptions can be misleading as the word ‘integration’ can cover a multitude of impostors.


In a truly integrated system, such as TemplaCMS, data is entered once into a single database and used interchangeably between different areas of the business without the need for staff to re-key data from one area to another, or to export data to other systems. This is supported by an internal ‘workflow’ system that distributes requests for action or authorisation and alerts users when they log in that their attention is required to move a task to the next stage.


By comparison, in the absence of true integration new modules are often ’bolted on’ to each other and key processes still require data to be exported in spreadsheets for action or analysis. As a result the contractor, whilst possibly saving money in the short term, is unlikely to realise the longer term financial benefits that integration is designed to achieve, i.e. a reduction in administration cost, the elimination of errors in invoicing and the increased client satisfaction that results from the accurate and timely sharing of contract data.
