CAFM & IT CAN YOUR WORKSPACE EXCEED YOUR EXPECTATIONS?
Luis De Souza, CEO of NFS Technology Group explains how technology can help you make the most of your facility.
While some UK business owners are still reeling from rising rates bills, a recent survey has shown that monthly London office rents have increased to more than £50 per square foot.
It’s a challenging environment. If business owners weren’t previously worried about the cost of their workspace, they certainly are now.
The sad truth is that a huge number of organisations are failing to make the most of their workspace. For instance, a healthcare conference recently heard that inefficient use of space in UK hospitals could be costing hundreds of millions of pounds every year.
The speaker said the blame could be put on a number of issues - but high among them were “very poor quality data and blissful ignorance.”
There’s nothing blissful about the results of poor space management; at NFS Technology Group, we supply best-in-class workspace management technology designed to deal with exactly this kind of problem – and we see the evidence that they work.
One customer of ours – a global utility with 40 meeting rooms over multiple locations – found its staff were struggling to find suitable rooms where they could schedule their meetings. As a result, they were spending a fortune on booking outside rooms, but within three months of deploying our browser-based Rendezvous enterprise level meeting room and resource scheduling solution, the utility reported savings of over $100,000 from reduced booking of external rooms, simply because people could easily find suitable available internal space. Integrating video conferencing with room booking is estimated to be saving another $5000 per week in reduced travel expenditure.
To allow users the easiest access to the power of Rendezvous, we

partner with Drawbase, whose advanced CAD/CAFM software is used to design, draw, track, and manage facilities via an intelligent graphical floorplan. The resulting combination is an easy-to-view-and- use workspace management system, which gives managers a unique overview of space utilisation.
Space accounting reporting is one of the big benefits, allowing facilities managers to calculate how space is being used and comparing it to space standards. They can also compare it to the lease, to make sure they are being charged for the correct amount of space – Drawbase’s graphic representation provides confirmation that they are looking at the correct space.
In large organisations, charging back space efficiently from one department
to another can be a logistical nightmare. However, our technology makes sure departments are charged for the space that they actually occupy, which encourages them not to overuse space that they don't need.
Facilities managers also benefit from a greater ability to track assets, which is particularly valuable when it comes to high-value assets and furniture, and saves loss and unnecessary procurement. It also means that staff are spared the frustration of trying to work or hold a meeting without the equipment or facilities they need.
In an increasingly risky world, technology also helps any organisation to ensure the safety of its workers and visitors, as well as its property, by tracking security infrastructure such as badge readers, badge scanners and door locks.
This integrates effectively with Rendezvous’ ability to capture visitor data and check-in and out times to create a working environment where security is enhanced. The implications of putting this level of sophisticated control and monitoring at the fingertips of facilities management professionals are immense. It’s estimated that organisations can gain a 5-10% reduction in annual workplace real estate costs by maximising space planning efficiencies and by ensuring corporate space standards are supported.
In all, it adds up to more efficient operations, better space utilisation, higher productivity and happier staff. Technology can’t change the challenging environment out there, of course. But Rendezvous from NFS proves it can create the internal conditions that help organisations hone their competitive edge.
