PAs and EAsquite often find they have to call meetings, sometimes finding themselves running proceedings. The key ingredients can be counted on one hand.

Set an agenda and state it in the subject line or body of the email.


Include the names of all those who will be attending, their role and responsibilities for being there. This ensures that everyone involved is aware of what is being brought to the table so they can prepare adequately. If it is a large meet- ing involving stakeholders from different places, take advantage of free cloud tools such as Dropbox to upload information such as videos, images and summaries. Keep track of meeting request acceptances and be sure to contact those who have not responded.


Think outside the box. Don’t feel restricted to the board room. Going out of


the office can usually open up free communication and help get creative ideas flowing. Depending on the people and the agenda for the meeting, informal venues can help create a sensory experience. Consider meeting outdoors


in a park, on a beach or in a cafe to ensure attendees are comfortable and the meeting is met with enthusiasm.

5 Express yourself visually. If you must use PowerPoint, go for images rather than


text to engage more effectively. Use colour and innovative products to help get message across.


Provide the right resources, such as pens that work and notepads.


For larger meetings, use name tags for participants. Don’t forget plenty of fluid, fruit and or sweets to ensure everyone is alert and hydrated throughout the meeting.


Summarise and finish with a bang. Be sure to thank everyone for attending and con-


tributing, and ensure there is time for an open forum or question-and-answer session. It is also great to allow time for a little social activity to help develop relationships. Later, it is important to send out a meeting summary to every- one who attended. Free online tools such as Wunderlist can help involve everyone collaboratively. E
