RUN A PTA – AGM anxiety

Calm your worries as we highlight the five essential things every PTA needs to know
1. WHAT IS AN AGM? You may already know that AGM stands for annual general meeting, but do you know what that really is? The AGM is a meeting of your association’s members, held yearly and conducted according to a formal structure. It focuses on the group’s governance rather than its day-to-day activities. The committee reports on the year’s activities and finances. It also stands down and new committee members can seek nomination. The PTA may also decide to adopt a new constitution. The PTA’s constitution, also known as
its governing document, outlines the group’s objectives and the rules and regulations which members must follow. It should contain information about how much notice to give members before the AGM – often 21 days. Provide written notice and take steps to communicate the time, date, venue and agenda to all members. Include information about those seeking nomination to the committee and minutes from the previous AGM in your communications.
2. WHY DOES THE AGENDA
HAVE TO BE SO RIGID? A formal structure is necessary to guarantee that you attend to all business. The agenda will be familiar to anyone involved in other charity or community associations. It should include a welcome, apologies for absence and the approval of the minutes from the previous AGM. The chair of the meeting – usually your PTA chair – will then deliver a report summarising the PTA’s activities, successes and plans, emphasising the impact of its work. Following this presentation, the treasurer will provide a detailed overview of the association’s finances, covering the balance from the previous AGM, current financial position and any income and expenditure. Another important aspect of the AGM is the
election of a new committee. In addition to nominations received prior to the meeting, former committee members can be re-elected, and members can nominate themselves at the meeting. Voting is typically done by show of hands, although you can use a secret ballot if required. If the results are tied, the chair has the deciding vote.
