IN-DEPTH: COMMUNICATIONS
A new intranet is on the way – find out how it will improve working lives across the trust.
F
or many years staff have been telling us about their frustrations with the Source – our current intranet, which launched in 2007. From frequent downtime to an ineffective search function –
we know the Source has been letting our staff down.
All is about to change! Over the past 18 months we’ve been gathering views and suggestions from emails, surveys and focus groups, to plan and build a new intranet to improve everyone’s working lives. Read on to find out how we’ve put that feedback into action:
Staff said: “I struggle to access the intranet – especially when I’m on the ward.” We did: The new intranet will be available on your personal or work smartphone via an app or browser, so you’ll be able to find what you need, when you need it – from a clinical guideline to the hopper
timetable – even when you’re away from your desk.
Staff said: “The search on the Source is useless – either I get no results or lots of irrelevant ones.” We did: Our new intranet will have a quick, predictive search function that will make it easy to find people, forms, departments and documents.
Staff said: “I want to be able to discuss projects and share materials with my team without having to send lots of emails.” We did: The new intranet will have a ‘team space’– a secure area where you can share documents, questions and ideas with your colleagues as a team – avoiding the need to rely on a shared drive or long email trails.
Staff said: “There’s just too much information on the Source – a lot of it isn’t relevant to me.” We did: Because you’ll log onto the new intranet as an individual, you’ll be able to choose what you want to see. In a

later phase, you’ll be able to bookmark pages that matter to you so you can access them straight away and filter news under categories so you can see the stories most relevant to you.
Staff said: “Downloading and filling in a word document takes forever. We really need electronic forms.” We did: Our new intranet will provide us with simple e-forms that we can complete and approve online.
LAUNCH AND ROLLOUT
We will launch the new intranet in phases starting this autumn. This means we can test and refine content while we gradually move information over from the Source. In the first phase, you’ll be able to:
• access policies and clinical guidelines • read the latest news • find employment and HR information In subsequent phases, we’ll develop new content areas and move up to date information from the Source onto the new platform. Don’t worry, the Source will still be available while we transition to the new system, so you’ll be able to access everything you need. If you are a current Source editor, a member of the communications team will be in touch with you to confirm when your area will move or be updated.
