Protecting personal information The capture of big data raises important questions about the security and ownership of personal information. For example, organisations must ensure that any data they store about their employees respects their right to privacy and does not put their personal safety at risk. With increased scrutiny over what information is collected and how it is used, organisations will have to formulate new ways to protect data.


Facilities managers are well versed in compliance issues, so it is unsurprising that most survey respondents understand the risks that data presents. A huge 80% of respondents claimed they are aware of all the risks and regulatory requirements when it comes to handling personal data.


Embrace big data ‘Big data’ is a hugely popular term, as is the Internet of Things (IoT) and their potential to change everything cannot be understated; sensors will soon connect an almost limitless number of devices and assets to networks, giving organisations the opportunity to discover relationships and patterns between departments, processes and physical spaces.

Who owns it? Who owns the data is also an issue for many organisations. A data ownership policy could help to give the information captured a purpose, by aligning it with business strategy. If an organisation needs to hit certain energy targets, for example, the facilities manager, as the owner of the data, could ensure that all data capture and analysis takes place with this objective in mind. If FM teams are to lay claim to the asset and workplace data needed for big data analytics, they have a compelling case – other business areas that could soon be vying for ownership of this data include IT and Finance.

Equipping individuals and organisations with better digital tools and information could lead to an unprecedented level of insight into all aspects of an organisation’s operation – from physical assets and energy performance to the management of space and people. But big data must still be tamed and there are clearly some challenges ahead before this is achieved. Without an understanding of how to capture, manage, govern and utilise data, it will become another point of uncertainty.


These primary challenges were highlighted in the survey – that only a third of organisations have a big data policy and only a quarter of respondents claiming they could harness the power of big data without support or additional training.


Ultimately, data has the potential to be a transformative tool for facilities managers by empowering them with more sophisticated business insight. By capturing and measuring the right building and occupier data, facilities managers can save their organisations money, make strategic, evidence-based business decisions and plot a roadmap to future growth. This makes the challenge set before the FM profession unmistakable: embrace big data or be left behind.
