TOMORROW’S MENT ’S TODAY

Graham Perry, Business Unit Director of iSite, discusses the increased importance of compliance for facilities managers (FMs) and explains how Big Data Analytics can help teams to both manage and mitigate risk.

As the scope of facilities management continues to increase, FMs are finding themselves increasingly embroiled in the world of compliance. For years’ facilities management teams have been tasked with managing a business’ health and safety strategy, but we’re now

seeing the scope of this responsibility increase to other areas of legislation. From environmental and fire safety regulation, to issues relating to cyber security and anti-corruption laws.

The challenge is that each of these areas is unique. They have their own set of criteria in order for a business to be deemed compliant, in addition to their own forms of certification or testing. This means those tasked with managing compliance can have access to huge volumes of data and documentation – from test certificates to improvement or enforcement notices – and much of this is still delivered in paper form.

With masses of unstructured data, it’s important for FMs to manage these documents effectively and the easiest way for businesses to achieve this is to collate all information into one central location that is accessible electronically. When viewed as a whole, this information then has the power to enable much more strategic decision-making as any potential

risks can be flagged before they become a problem.

For example, FMs can receive a notification via email that a fire safety certificate is due to expire in a set number of months. Not only will this prompt the team that they can expect a visit from the auditor, it also enables them to conduct their own internal assessment and ensure everything is meeting current standards. The ability to keep on top of this not only ensures the safest working environment for employees, it also mitigates the risk of the business receiving a fine from the regulator should they be deemed non-compliant.

This becomes particularly important when a company operates across multiple geographies, meaning facilities management teams may need to comply with different sets of legislative requirements. It’s in cases like this that the ability to collate data into one system and present it as a whole becomes even more beneficial.
