will receive a higher level of service. On the NEPA framework are a number of approved Print Partners who have been selected for their expertise and experience suitable to the HE sector. The agreement is with the OEMs but the contracts sit with their resellers and as a result this combination offers hybrid solutions to fi t demanding higher education requirements exactly, while the NEPA Working Group offers consortia members assistance in developing their print tenders. As Hayter explains: “The agreement was created by the members for the members, and contracts that fi t their needs exactly are the outcome.” NEUPC used the NEPA tender itself
to source a new MFP device for its offi ce at the Leeds Innovation Centre on the Leeds University Campus. Hayter explains: “Although we are a small offi ce with between four and 10 users of the device, our old MFP was giving us real issues with toner and it simply wasn’t reliable enough. Having put together the NEPA framework it made sense to use it for our own requirement. We invited partners on the framework to tender and the KYOCERA device met all of our criteria.” Hayter continues: “Our team procures
everything and everything – we have 110 framework agreements in place for most commodities that our members need. Whilst there is no mandate to use a framework, NEUPC only awards frameworks following a prioritisation exercise and consultation with universities’ members of staff who also help with the specifi cations and scoping of what’s required. We do very little copying and not a great deal of printing but the printing we do has to be of very high quality – whether colour, or black and white for contracts. Our colour work tends to be the creation of training documentation which contains plenty of graphs and images prepared for senior people at universities. “Most of our activity on the device is

so we have quite a number of pages to make into digital copies. We try to avoid using too much paper and wanted to save room with a device which was as compact as possible. We also wanted to ensure it was future proof.” The KYOCERA device was installed in October 2012 and has given good service to the team since then. Hayter concludes: “I’d give KYOCERA and its partners 10/10 for service – there’s no hassle and we get toner on next day delivery which works very well for us. We have a very easy interaction with KYOCERA, their team is very helpful. When we asked for information on how the contract would operate we got a very personalised response. The CPC was good and the environmental aspects of KYOCERA’s approach were ideal. Sustainability is always a consideration in procurement and is increasingly
becoming more relevant. An unexpected benefi t was the streamlining of
our workfl ows – by using the scan-to- email functionality.”
