You may be held responsible for any conditions, damages or shortages that are not noted on the HCR at the time of check-in. Failure to provide the area office with the completed HCR as indicated above may result in charges for conditions, damages or shortages that preceded your time of occupancy. Once you have moved out, any damages or shortages not noted on the original HCR may result in appropriate charges to your account by Housing Services.
CHECKOUT PROCEDURE – Residents permanently vacating their room at any time during the year are expected to check out properly. The checkout procedure may vary by situation, but all residents vacating a unit on campus are required to:
• Turn in all university-issued keys and complete necessary cancellation paperwork (if applicable)
• Remove all belongings and sufficiently clean the room or apartment, including cleaning the adjacent bathroom
in suite-style units, and kitchens and bathrooms in apartment-style units. Housing Services reserves the right to determine whether a room or apartment has been sufficiently cleaned
• Arrange and assemble all university-provided furniture as it was found upon move-in (see the cancellation
section on page 8 for additional information if checking out due to a cancellation)
Additionally, you are advised that:
• Failure to check out properly and on time may result in an improper move-out fee of $150
• All residents are jointly responsible for the care, cleanliness and protection of the common areas of
their suite or apartment. When damages occur inside a room or apartment and Housing Services does not know who caused them, charges will be split among the residents of that unit
• All billing decisions regarding room condition and damages are final
• Any of your private property remaining after vacating or upon the expiration of the housing agreement will
be considered abandoned and may be donated or disposed of at your expense
• You should fill out a forwarding address card at the student housing Mail Center so that mail can be
properly routed
Preferred Checkout (available 24 hours a day, seven days a week):
• If choosing this option, you forgo the right to be present during the inspection of your room
• Your room should be clean and in the same condition
as when you moved in
• Use the key envelope received upon completion of cancellation paperwork and return unit key and mail
key to the Housing Services main office, Centennial Hall, Suite 301
• Complete the required information on the envelope, including date, name, DePaul ID number, building
name, and room number
• Drop the sealed and completed envelope with room and mail keys in the key drop box located outside
the entrance to the Housing Services main office, Centennial Hall, Suite 301
• After your room has been vacated, a Housing Services staff member will inspect your room and note
any applicable damage charges, including cleaning charges. If necessary, a damage billing letter will be sent to your permanent address
Alternate Checkout (available only during normal business hours: Monday through Friday, 9 a.m. to 5 p.m. This option is not available in June during spring quarter move-out):
• Make an appointment with your facilities area coordinator (FAC) at least 24 hours in advance of your
move-out date to complete your room inspection
• Your room should be clean and in the same condition as when you moved in
• FAC will inspect your room and note any discrepancies
• Present room and mail key to FAC and sign the key agreement
CONVERTED HOUSING – Some confirmed students may be assigned to converted housing. Converted housing rooms are standard residential rooms that have been converted from a double room to a triple room, or from a triple room to a quad room.
All residents who are assigned to a converted housing room are expected to comply with the housing agreement’s terms and conditions. Should a resident of a converted housing room request a move to a standard room, his or her request will be processed ahead of regular room change requests, as space allows.
Converted housing residents will be issued a credit with the following standards:
• A 20 percent credit will be issued on room charges to all converted housing residents for the time period in which there are additional residents assigned to the room
• Credits will be issued at the end of each quarter • Credits are only valid on room charges; dining plans
Residents are responsible for reading and responding to any official email, voicemail or mail sent to them by the university and for updating their information in Campus Connection. Housing Services will communicate with students using the most updated email and addresses registered in Campus Connection. Failure to update or check email, campus mail or U.S. mail will not excuse a student from responding to or having knowledge of a message from the university.
