• Knowing and planning where their staff are working. • Driving optimum utilisation of valuable real estate.

• Creating conditions where collaboration and wellness thrive.

• Supporting a great employee experience in-office.

“Our response was to create the Portal, an easy-to-use, graphical and integrated room and desk booking solution for managers and employees.

“Like all the best workplace technologies, it drives operational efficiency and can help reduce real estate costs by enhancing space utilisation – but above all, it helps hybrid managers keep closely in touch with their people to encourage motivation, collaboration and friendship.”

Rendezvous is a highly-integratable software that sits at the heart of a workplace ecosystem. It enables people to find and book space or organise meetings, even in multiple locations, using an app on their mobile. It also includes a colleague search facility.

The technology integrates with hardware including digital signage for meeting rooms and desks, and with visitor management hardware that enables touch-free check in and out using QR codes. Integration with sensors provides valuable data on how space is actually being used.

In the Rendezvous Employee Portal, the manager can drag and drop onto the desk booking grid to place employees in chosen desks, or tap the employees' details to book them in for multiple days in the office.

A highly graphical desk booking diary shows desk availability and bookings at a glance, and employee status is colour-coded to pinpoint their location.

Luis says: “In the hybrid workplace, it’s crucial that people can easily find the colleagues they need to work with, and book space near them on visits to the office – or effortlessly set up Teams meetings.”

In the Portal, employees set their daily status via the mobile app while viewing teammates’ status. This makes collaboration easy and natural, improving productivity and creating a seamless workplace journey that adds up to a positive and enjoyable employee experience.

“We know many organisations have an issue of uneven desk use on Mondays and Fridays, and the portal can help with that, too,” says Luis.

If required, managers can: override employees’ working from home days; move staff onto any desk or floor; manage multiple teams; and, set up hierarchies of managers.

The Employee Portal integrates with office productivity tools including calendar and Outlook, and has full SSO and SAML authentication so there’s no need to sign into multiple applications.

“Today’s workplace leaders need to have a full, real-time grasp of an often dispersed workforce and make good workspace planning decisions based on real-time data so the needs of their employees can be fulfilled,” says Luis.

“With the introduction of the Rendezvous Employee Portal, we’re providing an intuitive command centre for hybrid workplace managers – and we feel everyone deserves to have one at their fingertips.”
