NIFTY FIFTY FOR TEMPLA
The last twelve months at Templa have easily been the busiest since the company launched its integrated contract management software back in 2010. Rick Stoor, Templa MD looks back at some of the highlights.
SOFTWARE OF CHOICE FOR
UK CLEANING CONTRACTORS The past year has seen nearly a dozen contractors switching from competing software systems to join us at TemplaCMS – bringing our total clients to over fifty. Five of these new clients were Cleanlink conversions, with the remainder transferring from Target Control. With the former, it is our reputation for fine-tuning our software to our clients’ exact requirements that is proving the attraction – rather than them having no prospect of new functionality coming through in new releases. With the latter, it was the long term security of their supplier and lack of technical innovation that caused them to switch.
INTERNATIONAL GROWTH BUILT ON COUNTRY-SPECIFIC
REQUIREMENTS Although contract cleaning in other countries shares similarities with the UK industry, there are some important areas of difference – payroll being the main example. Working with contractors in Australia, where nationally imposed pay structures apply to the cleaning industry, we have developed a new module – CMS Award Interpretation. Rules on pay scales, overtime rates, weekend premiums and so on, are now built into our clients’ payroll systems, ensuring that they automatically pay staff correctly. This led directly to us winning another major new client in Iceland, where a similar requirement exists.
NEW BUSINESS PROCESS
MODULES ADDED After talking to our clients when building our development roadmap for

this year, we’ve introduced three other new modules to satisfy demand for increased functionality.
CMS Dashboards delivers management information across different performance measures in an easily readable graphical format direct to a user’s log-in screen. It ensures that up-to-date sales, financial, operational and compliance data is available for immediate review and action, reducing the need to manually collate data, email reports and attend meetings.
CMS Advanced Forms allows clients to design routine forms, such as new starter or employment variations to a client’s precise specification. Forms can include images and signature boxes, plus intelligent fields, where data entered remotely on a form automatically creates or updates the appropriate record on the client’s central database.
CMS Hygiene Services allows clients whose business model includes the sale of their own washroom products and consumables to schedule delivery and plan routes, with smartphone integration for delivery confirmation. Automated billing completes the cycle.

FINANCIAL BENEFITS The acid test of any contract management software is whether it improves financial performance and this year has seen three of our clients publicise the direct financial benefit of CMS.
Regular Cleaning Services of Lewisham, a Templa client for four years, was able to maintain constant central overheads despite a 24% increase in revenue to £14m. Therefore proving that with the right software
system, not all contract growth dictates an exponential growth in an administrative overhead.
DOC Cleaning of Epping, a rapidly growing company, has dramatically sped up the contract mobilisation process. Using CMS Customer Service, they now expedite 30 different action requests simultaneously to staff and suppliers, alerting them of the need to put their piece of the mobilisation jigsaw in place – a task that would previously have taken half a day. The module tracks and traces every action request, providing reassurance to the new client that the contract will start smoothly.
Nviro of Portsmouth, a £16m turnover client, has successfully used the CMS Quality Audit module to produce a highly bespoke audit for their NHS client, helping to retain the business and keep the client happy.
MAKING A STAND After the success of the London Cleaning Show and Ausclean Queensland in 2015, we have already booked our stands at the Manchester Cleaning Show and Amsterdam ISSA/Interclean for 2016. We’re tremendously looking forward to these events and to forging the relationships that will see us add our next 50 clients.
